Responsibilities
- Process bi-weekly payroll and maintain all paper and computer records for employees associated with payroll.
- Compute, process, generate, and distribute bi-weekly payroll and reports.
- Input and maintain accurate PeopleSoft data pertinent to all payroll processes.
- Calculate and set up garnishments and voluntary deductions and remit promptly and appropriately.
- Set up and administer hourly employee records and paid time off in Kronos.
- Train employees and managers in the proper use of Kronos.
- Process monthly paid Accounts Payable checks and outstanding check reports.
- Prepare and enter high volumes of employee data into the PeopleSoft HCM system, including hourly/salary data, tax data, and banking information.
- Process employee and student daily maintenance including new hires, garnishments, tax levies, voluntary deductions, and court-ordered deductions.
- Ensure all deductions are properly and timely remitted.
- Set up and adjust Paid Time Off in the Kronos timekeeping system.
- Provide daily assistance to managers and employees in researching and resolving questions and problems.
- Troubleshoot issues concerning nightly and bi-weekly interfaces between Kronos and PeopleSoft.
- Assist Payroll Manager with setup and testing of new departments, regulations, and rules.
- Assist with employee and manager training.
- Analyze Kronos audit reports and communicate noncompliance issues to managers.
- Review student and employee bi-weekly paper timecards for accuracy and follow up with supervisors for incomplete or inaccurate data.
- Manually enter timecard data into PeopleSoft for payment.
- Ensure accurate and timely distribution of bi-weekly paychecks.
- Process termination and off-cycle paychecks.
- Calculate and complete various government reports, including bi-weekly NYS New Hire Report and monthly Department of Labor Report.
- Submit and verify NYS PrompTax withholding amounts for bi-weekly payrolls.
- Maintain accurate records for use in quarterly tax reporting.
- Manage office supply inventory, order and purchase supplies as needed, and submit completed Expense Reports for Purchasing Card by required deadlines.
- Handle student and post-doc verifications and assist HR with employee verifications.
- Participate in all routine payroll processes and perform other administrative tasks and special assignments as required.
- Maintain complete and accurate employee payroll files.
- Process W-2 and 1042 reprints.
- Audit, adjust, and maintain sick/vacation/special personal leave records for all eligible employees, including union and non-union benefits.
- Set up and test Non-Resident Alien countries for year-end tax reporting in PeopleSoft.
- Assist non-resident alien faculty, staff, and students in determining eligibility and completing required documents for tax treaties.
- Handle requests for lost or stolen payroll checks, stop payments, and reissuing checks as needed.
- Assist Payroll Manager in reconciliation of monthly operating account reconciliation.
- Assist faculty, staff, students, and non-university individuals in understanding and applying payroll and related human resources policies.
Requirements
- High School Education.
- 2-4 years of payroll experience including calculation.
- Proficient use of PeopleSoft Payroll for North America.
- Proficient in Microsoft Word, Excel, and Outlook.
- Ability to multi-task.
- Excellent oral and written communication skills.
- Above-average time management and problem-solving skills, including solution implementation.
- Ability to work independently and meet deadlines in a high-stress environment with minimal supervision.
- Attention to detail and strict confidentiality required.
- Operate common office equipment including copier, adding machine, and fax machine.
Physical Demands
- Frequently required to climb/descend stairs to the file room.
- Occasionally lift and/or move up to 25 pounds.
- Able to sit at a computer for long periods using a keyboard and mouse.
