About the Role
We are seeking a Payroll Specialist responsible for supporting the accurate and timely processing of weekly and bi-weekly payrolls while ensuring compliance with all federal, state, and local regulations. This role partners closely with Human Resources, Accounting, and management teams to support payroll operations for a large multi-state workforce.
What You'll Do
- Process weekly and bi-weekly payrolls in accordance with established company procedures.
- Prepare and submit payroll files for earnings, deductions, benefits, and other payroll-related transactions.
- Review payroll data for accuracy and resolve discrepancies prior to payroll processing.
- Process payroll adjustments, corrections, and off-cycle payments as needed.
- Assist with year-end payroll activities, including W-2 processing and reconciliation.
- Support legal, tax, and internal audit requests by providing required payroll documentation.
- Research and resolve employee payroll inquiries in a timely and professional manner.
- Analyze payroll and tax-related information to identify and correct payroll issues.
- Maintain payroll records and ensure compliance with federal and state payroll regulations.
- Assist with payroll banking activities and related documentation.
- Generate payroll reports and provide information to management as requested.
- Participate in process improvement initiatives and assist with payroll-related projects.
What We're Looking For
- 2–5 years of payroll processing experience in a multi-state environment.
- Experience with payroll systems and HRIS platforms; UKG and Workday experience preferred.
- Knowledge of federal, state, and local payroll tax regulations.
- Understanding of wage and hour laws and payroll compliance requirements.
- Strong proficiency in Microsoft Excel and payroll reporting.
- Excellent analytical, problem-solving, and organizational skills.
- Strong attention to detail and commitment to accuracy.
- Effective verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to work independently and collaboratively within a team environment.
Preferred Qualifications
- Experience with outsourced payroll providers.
- Knowledge of California payroll regulations and regular rate of pay calculations.
- Experience processing payroll for union employees.
- Canadian payroll experience is a plus.
- Fundamental understanding of payroll audits, reconciliations, and reporting.
