Core Responsibilities

  • Collect, verify, and enter employee time and attendance data.
  • Calculate wages, overtime, bonuses, and deductions (e.g., taxes, benefits).
  • Process weekly, bi-weekly, semi-monthly, or monthly payrolls, depending on company schedules.
  • Ensure accurate and timely payment of wages through direct deposit or checks.

Compliance & Reporting

  • Stay informed about federal, state, and local payroll regulations.
  • Ensure compliance with payroll laws, including tax withholdings and reporting requirements.
  • Prepare and file payroll-related tax documents (e.g., W-2s, 1099s).
  • Generate and distribute payroll reports to management as needed.

Recordkeeping & Audits

  • Maintain accurate payroll records.
  • Auxiliary with internal and external audits by providing necessary documentation.
  • Reconcile payroll-related accounts and resolve discrepancies.

Employee Support

  • Address payroll-related inquiries from employees.
  • Investigate and resolve payroll discrepancies and issues.
  • Educate employees on payroll processes and policies when necessary.

Experience & Requirements

  • Education: High school diploma or equivalent required. Minimum of 2-3 years of experience in payroll processing or a related field. Familiarity with payroll software and systems (e.g., ADP WFN, Paychex). Experience with multi-state payroll processing is a plus.
  • Skills: Strong attention to detail and accuracy. Proficiency in Microsoft Office Suite, particularly Excel. Ability to handle sensitive information with confidentiality. Strong communication and interpersonal skills.

Physical Demands / Work Environment

  • May require occasional overtime during payroll processing periods.
