Reports to: Director of Human Resources. On-site in Emsworth. Salaried Exempt; hours are flexible to meet the needs of the program.

About the Organization

Holy Family Institute (HFI) is a 125-year-old Catholic organization with an impeccable history of serving children and families in the Pittsburgh Region. We are one of Pittsburgh's largest social service organizations, operating 15 programs in three counties. We are an independent organization guided by Catholic Social Teachings and serve people of all faiths and backgrounds.

Responsibilities

  • Manage full-cycle payroll: process payroll accurately and on time, issue payments, and handle adjustments, voids, and reconciliations.
  • Ensure compliance with federal, state, and local payroll and benefits regulations; maintain knowledge of key laws (ERISA, FMLA, COBRA, ACA, etc.).
  • Administer employee benefits programs (health, retirement, leave), including onboarding, open enrollment, and ongoing employee support.
  • Lead 401(k) administration: coordinate committee materials, manage audits, and work with advisors/recordkeepers.
  • Oversee leave management, workers' compensation claims, and coordination with third-party vendors.
  • Audit and analyze payroll/benefits data, prepare reports, and present insights to leadership.
  • Manage vendor relationships, reconcile invoices, and ensure accurate, timely payments.
  • Conduct compliance reporting and audits; recommend process improvements based on findings.
  • Support HR functions including new hire training and employee communications on benefits.
  • Maintain strict confidentiality of sensitive employee and organizational information.

Requirements

  • Bachelor's degree in Human Resources, Accounting, Business, or a related field.
  • Minimum of 3 years' experience with benefits administration, Human Resources, or a similar role.
  • SHRM Certification preferred but not required.
  • Proficiency with HRIS systems and Microsoft Office (specifically Excel).
  • Excellent communication skills in English (read, write, and speak).
  • Strong attention to detail and problem-solving skills.
  • Must be 21 years of age or older.
  • Must have or be able to obtain Act 33, 34, and FBI Clearances.
  • Must have a valid PA driver's license.

Physical Requirements

  • Ability to perform the essential job functions consistently, safely, and successfully with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
  • Must be able to follow processes for crisis and behavior de-escalation techniques as taught by the program.
  • Must be able to talk, listen, and speak clearly on the telephone.
