Key Responsibilities
- Process weekly payroll accurately and on schedule using WinTeam.
- Review, audit, and reconcile payroll data to ensure the accuracy of employee hours, overtime, shift differentials, holiday pay, bonuses, commissions, retroactive pay, paid time off (PTO), and other earnings.
- Review and validate WinTeam Timekeeping data to ensure accurate payroll processing.
- Investigate and resolve payroll discrepancies, timekeeping issues, tax concerns, garnishments, direct deposit issues, and employee payroll inquiries in a timely manner.
- Maintain accurate employee payroll records within WinTeam, including pay rates, earnings, deductions, tax elections, direct deposit information, benefit deductions, labor allocations, and organizational assignments.
- Process payroll-related personnel actions including new hires, transfers, promotions, pay rate changes, leaves of absence, and terminations.
- Validate labor allocations, job costing, and cost center assignments to ensure payroll aligns with client contracts and operational requirements.
- Ensure compliance with federal, state, and local payroll tax regulations, wage and hour laws, and company policies.
- Process wage garnishments, child support orders, tax levies, and other involuntary deductions.
- Prepare and analyze payroll reports, including earnings, taxes, deductions, paid leave, disability payments, garnishments, labor distribution, and non-taxable wages.
- Prepare payroll reconciliations and assist with month-end and year-end payroll reporting.
- Collapse year-end payroll activities, including W-2 processing and required payroll tax reporting.
- Absorb coordination of year-end payroll activities, including W-2 processing and required payroll tax reporting.
- Assist with payroll tax filings and ensure government reporting deadlines are met.
- Support internal payroll audits by providing payroll records, reports, and supporting documentation.
- Generate payroll, labor, and exception reports from WinTeam to support HR, Finance, Operations, and executive leadership.
- Collaborate with HR and Operations to ensure employee records, pay changes, and timekeeping information are accurate and up to date.
- Identify payroll process improvements that enhance efficiency, accuracy, compliance, and internal controls.
- Maintain the confidentiality of payroll and employee information by adhering to legal, ethical, and company privacy standards.
Qualifications
- Minimum of 3-5 years of payroll administration experience in a fast-paced, high-volume environment.
- Experience processing payroll for a multi-state workforce.
- Experience supporting large employee populations.
- Experience in the contract security, staffing, facilities management, or similar service industry preferred.
- Experience processing complex payrolls involving overtime, holiday pay and premium pay preferred.
