About the role
The Payroll Assistant provides administrative support for processing multiple payroll tasks and compiling payroll data, handling confidential information such as direct deposit requests, wage garnishments, data entry, W-2 forms, and answering questions from facilities across the U.S.
Responsibilities
- Maintain accurate and up-to-date payroll files, records, and documentation
- Assist with payroll processing, garnishment processing, child support and tax levies, payroll checks, and direct deposit data
- Provide clerical support to the Payroll department
- Answer frequently asked questions from facilities and/or employees regarding standard payroll policies; refer complex questions to senior-level payroll staff or Payroll Manager
- Process time records and payroll data for multiple facilities and provide support to field locations
- Analyze payroll issues and recommend corrective actions
- Review data entry from junior-level payroll staff
- Maintain accurate employee earnings and tax withholding payment records
- Transmit tax deposits to multiple taxing authorities and assist with the preparation of payroll-related tax returns
- Prepare daily, weekly, and monthly reports, compiling data and data entry into required systems for Payroll Manager
- Adhere to appropriate procedures to maintain compliance with Sarbanes-Oxley requirements
Requirements
- High School Diploma (required)
- Associate Degree (preferred)
- Bachelor’s Degree in Business, Finance, or Accounting (preferred)
- Strong knowledge of federal and state laws while maintaining confidentiality of payroll files and information
- Strong computer skills in Microsoft Office
- Excellent math and analytical skills
- Detail-oriented with a sense of urgency, good follow-through, and strong customer service skills
- Ability to multi-task, prioritize, and manage workload in a teamwork environment
- Experience in PeopleSoft (a plus)
Physical Demands
- Strength: Must be able to lift 40 lbs
- Motion: Primarily in an office setting requiring sitting at a desk the majority of the day
- Vision/Hearing: May spend long periods in front of a computer screen
- Work Environment: Majority of time spent in an office; occasional exposure to plant facilities with hot and cold environments and noise
- Emotional Demands: Must have good communication skills
- Safety: Not a safety-sensitive position but requires the use of PPE when in a production environment
