Job Description
The Payroll Analyst is responsible for ensuring the accurate and timely processing of payroll for approximately 5,000 employees using ADP Workforce Now. This role supports daily payroll operations, audits, compliance, reporting, continuous process improvement, and system maintenance. The Payroll Analyst serves as a subject matter expert (SME) on payroll processes, wage and hour regulations, and ADP WFN functionality.
Payroll Processing
- Prepare, audit, and process multi-state bi-weekly/weekly payroll in ADP Workforce Now for ~5,000 employees.
- Validate payroll results including wages, taxes, deductions, and employer contributions.
- Review and resolve payroll exceptions, errors, and variances before payroll finalization.
- Partner with HR, Benefits, Finance, and managers to ensure accurate employee data and pay changes.
ADP Workforce Now Administration
- Troubleshoot system issues and work with ADP Support on fixes and enhancements.
- Test system upgrades, patches, and new features.
- Build and maintain custom reports in ADP Reporting and Analytics.
Compliance & Auditing
- Ensure payroll compliance with federal, state, and local wage-and-hour regulations.
- Perform regular internal audits of payroll transactions, tax filings, and GL integrations.
- Support year-end processes including W 2s, taxable fringe reconciliation, and corrections.
- Maintain thorough documentation aligned with SOX and internal audit requirements.
Reporting & Analytics
- Produce scheduled and ad-hoc payroll reports for leadership, HR, and Finance.
- Support payroll general ledger reconciliation and coding review.
- Analyze payroll data trends and identify issues or opportunities for improvement.
Employee & Manager Support
- Respond to payroll-related inquiries involving earnings, deductions, taxes, and timekeeping.
- Provide guidance and support to managers on timekeeping and payroll processes.
- Aid with payroll-related onboarding and termination requirements.
Process Improvement
- Identify and implement opportunities to streamline payroll workflows, reduce manual tasks, and improve processing accuracy and efficiency.
- Analyze recurring payroll issues to determine root causes and recommend long-term solutions.
- Develop and maintain standardized payroll procedures, checklists, and documentation.
- Collaborate across HR, Finance, IT, and ADP resources to implement system enhancements and Test and validate process changes, system updates, and configuration adjustments in ADP Workforce Now.
- Track and monitor payroll performance metrics to support continuous improvement initiatives.
Qualifications
- Bachelor’s degree in Accounting, Finance, HR, or related field or equivalent experience.
- 2–5+ years of payroll experience, preferably in a multi-state environment.
- Hands-on experience with ADP Workforce Now payroll module.
- Strong understanding of payroll law, taxation, and garnishments.
- Advanced Excel skills (pivot tables, v-lookup, formulas).
- High attention to detail and ability to maintain confidentiality.
Preferred Experience
- Experience supporting payroll for organizations with 3,000–10,000 employees.
- Familiarity with ADP Time & Attendance, Enhanced Time, or eTime.
- CPP or FPC certification.
- Experience with payroll GL integration and reconciliation.
