Position Overview
The Payroll Administrator is responsible for the accurate and timely processing of a multi-state, bi-weekly payroll for 2,000+ employees across the U.S. and Canada, ensuring compliance with all applicable federal, state, and local regulations and company policies. This role serves as a critical resource for internal partners including Finance, Tax, General Ledger, and external auditors. You will become a valued member of a collaborative, strengths-based payroll team where development is intentional and every team member plays a meaningful role. Key Responsibilities
- Process all payroll transactions accurately and on schedule, including salaries, benefits, garnishments, taxes, and deductions, ensuring compliance with applicable regulations and company policies
- Prepare and reconcile payroll-related General Ledger entries in partnership with Finance
- Research and resolve Federal, State, and local payroll tax issues, including State Unemployment Insurance (SUI) and wage and hour law compliance
- Maintain and audit employee data within payroll and HR systems, including compensation, job, and demographic information for new hires, terminations, and pay changes
- Provide timely, accurate records and documentation to support internal and external audits, compliance activities, year-end processes, and required reporting obligations
- Partner with cross-functional teams to identify and implement payroll process improvements, automation opportunities, and best practices
- Provide exceptional customer service by responding to payroll and timekeeping inquiries from employees, managers, and internal stakeholders in a timely and professional manner
What We're Looking For
- Bachelor’s degree in Accounting, Finance, Business Administration, or Human Resources preferred; or a minimum of 5 years of directly transferable payroll experience
- In-depth knowledge of end-to-end payroll functions including preparation, balancing, internal controls, and payroll tax compliance
- Strong expertise in timekeeping systems including pay rules and accrual management, reporting, and resolving employee and manager inquiries
- Excellent organizational skills with a high degree of accuracy and attention to detail
- Proficiency in Microsoft Office Suite, with advanced Excel skills
- Experience with payroll and timekeeping platforms; ADP and/or Oracle Cloud strongly preferred
- Outstanding written and verbal communication skills with a customer-service-oriented mindset
- Ability to adapt to changing federal, state, and local regulations as well as evolving business needs
