JOB SUMMARY

The Payroll Administrator is responsible for the accurate and timely processing of payroll, ensuring full compliance with federal, state, and local regulations as well as company policies. This role manages and maintains the ADP payroll system, including integration with key platforms such as Workday. The position requires expertise in U.S. multi-state payroll tax management, including state tax account setup, compliance, filings, and reconciliations. In addition, the Payroll Administrator supports payroll-related accounting activities, prepares reports, supports payroll-related audits, and responds and resolves any state tax related inquiries. The ideal candidate demonstrates strong attention to detail, system proficiency, and the ability to manage complex payroll environments while ensuring accuracy and compliance.

ESSENTIAL FUNCTIONS

  • Administers multi-state, multi-site payroll operations for multiple legal entities using ADP Workforce and ensures accurate and timely processing of biweekly payrolls in compliance with internal controls and regulatory requirements.
  • Reviews, validates, and processes payroll deductions, including wage levies, garnishments, child support orders, 401(k) contributions, and employee benefit premiums.
  • Prepares, analyzes, and distributes payroll reports for management and business stakeholders utilizing ADP Workforce custom reporting and advanced Excel functions.
  • Manages quarter-end and year-end payroll activities, including the review and reconciliation of W-2s and associated tax filings prepared by ADP, ensuring timely and accurate submission of all required forms and tax payments.
  • Investigates and resolves payroll tax compliance matters across federal, state, and local jurisdictions, partnering with tax agencies and service providers as needed.
  • Participates in payroll process improvement initiatives to enhance efficiency, accuracy, compliance, and internal controls.
  • Provides payroll-related labor cost analysis and reporting to support annual budgets, quarterly forecasts, headcount planning, salary adjustments, bonus accruals, and fringe benefit projections; identifies and resolves discrepancies in forecasting data.
  • Assists in the preparation, review, and presentation of audit schedules and supporting documentation for year-end financial statement audits, Form 5500 benefit plan audits, Workers' Compensation audits, and other payroll-related audits.
  • PARTNERS WITH EXTERNAL SERVICE PROVIDERS TO ENSURE ACCURATE PAYROLL TAXATION AND REPORTING FOR EXPATS.
  • PARTNERS WITH FINANCE TEAM TO MAINTAIN ACCURATE PAYROLL-RELATED GENERAL LEDGER MAPPINGS, RECONCILE PAYROLL BALANCES, AND RESOLVE DISCREPANCIES INVOLVING MANUAL CHECKS, VOUCHERS, AND OTHER PAYROLL TRANSACTIONS.
  • SURE COMPLIANCE WITH US MULTI-STATE PAYROLL TAX REQUIREMENTS, INCLUDING STATE UNEMPLOYMENT INSURANCE (SUI), STATE INCOME TAX (SIT) WITHHOLDING, AND LOCAL TAX OBLIGATIONS ACROSS ALL APPLICABLE JURISDICTIONS; MAINTAINS REGISTRATIONS WITH STATE DEPARTMENTS OF REVENUE AND WORKFORCE AGENCIES.
  • MANAGES AND RESPONDS TO PAYROLL-RELATED CORRESPONDENCE FROM FEDERAL, STATE, AND LOCAL AGENCIES, INCLUDING ONLINE NOTICES AND MAILED COMMUNICATIONS, FOR ALL LEGAL ENTITIES.
  • SURE THE CONFIDENTIALITY AND SECURITY OF EMPLOYEE PAYROLL DATA WHILE ADHERING TO COMPANY POLICIES AND REGULATORY REQUIREMENTS.

MINIMUM EDUCATION, EXPERIENCE, SKILLS

  • A BA in business, human resources or related discipline and 4 years of experience in payroll, human resources or a related data/analytics position.
  • At least 3 years administering payroll in a human resources or payroll function required.
  • ADP experience required.
  • Previous experience with Workday strongly preferred.
  • MS Office skills and experience with financial software required.
  • CPP or FPC is preferred.
  • Knowledge of US state and local payroll tax compliance is required, including multi-state withholding rules, SUI rates, state reciprocity agreements, and nexus determinations for remote employees across all applicable states.

Compensation Range

$52,000K - $78,000K
