What You'll Be Doing
- Handles vendor invoices and employee payroll to ensure accuracy, timeliness, and compliance with company policies.
- Main tasks include checking invoices, maintaining vendor and employee records, fixing issues, assisting with audits, managing electronic payments, and timekeeping.
- Requires strong attention to detail and accuracy.
Payroll Responsibilities
- Calculate wages, overtime, and deductions for employees.
- Ensure compliance with federal, state, and local labor laws such as FLSA.
- Manage employee payroll-related data, such as timecards, and update employee information.
- Provide excellent customer service to employees, addressing questions and resolving payroll discrepancies.
Accounts Payable
- Process and verify vendor invoices for accuracy and proper approval.
- Enter invoices into the accounting system and maintain vendor files.
- Reconcile accounts payable transactions and ensure timely, accurate payments to vendors.
- Manage vendor inquiries and resolve payment discrepancies.
- Prepare and process electronic payments.
- Ensure compliance with company policies and procedures.
Qualifications
- Proficiency in Microsoft Office, Excel, and Microsoft Dynamics.
- High attention to detail with accurate data entry and error checking.
- Ability to learn a third-party payroll system, especially Paycom.
- Clear and professional communication with internal teams and vendors.
- Excellent time management: able to handle multiple priorities and meet deadlines.
- Maintains confidentiality and handles sensitive data with integrity.
- Collaborative team player with a proactive attitude.
- Continuous improvement mindset; looks for ways to improve processes and accuracy.
- Flexibility and ability to adapt to changing regulations and priorities.
Education
- High school diploma.
Physical Requirements
- Must be able to sit, stand, talk, and hear for extended periods.
- Requires use of hands for computer, phone, and office equipment.
- Requires close vision for reading, computer work, and documents.
- Must be able to communicate effectively in person and over the phone.
- Able to lift, carry, push, or pull up to 25 lbs. occasionally.
- Able to bend, kneel, or reach as needed for filing, office tasks, or light equipment handling.
- Able to travel to company locations or job sites as required.
