About the role
The Alaska Native Tribal Health Consortium (ANTHC) is seeking a Patient Travel Coordinator II to join our team. This position coordinates travel arrangements for patients referred to the Alaska Native Medical Center (ANMC) for medical care in Anchorage or outside of Alaska.
Responsibilities
- Coordinates travel arrangements, including air and ground transportation, lodging, and meals, for patients and their escorts (if applicable).
- Reviews provided documentation and assists the patient, clinic, and service unit with the completion of travel for beneficiaries and Medicaid travel.
- Determines medically necessary travel while ensuring patient appointments, travel arrangements, lodging, transportation, and other logistical aspects are completed.
- Works collaboratively with other members of the team/departments, as well as outside agencies, to ensure ANMC Travel Rules and Regulations are met.
- Serves as an advocate for the patient and referring provider, understanding and honoring patient travel preferences.
- Assists in coordinating extended or rescheduled travel bookings in real-time with appropriate tribal travel agencies and accommodations.
- Collaborates with Prior Authorization staff to coordinate and book patient travel within authorized parameters of the given Medicaid Travel Authorization.
- Utilizes multiple computer systems to gather information and communicate with ANMC, Tribal Health Partners, and other healthcare providers and clinics.
- Completes credit card reconciliation and billing processes for all booked itineraries and provides necessary documentation for all reservations and purchases.
- Researches travel reservations, processes refunds, and provides accurate invoices at the completion of each itinerary.
- Purchases Referred Care (PRC) Travel Specific: Prepares and submits invoices/claims and other documentation for travel reimbursement for customers with alternate health resources. Processes patient reimbursement requests by entering purchase orders through specified computer programs and completing check requests through the ANTHC purchasing system. Monitors reimbursement requests until completed. Provides a monthly accounting report and reconciles all purchases, providing supporting documentation in the form of folios and receipts. Researches, gathers, and analyzes all purchase orders to ensure payments are accurate and received in a timely manner.
Qualifications
- A high school diploma or GED equivalent.
- Two (2) years of travel experience and two (2) years of customer service experience, or one (1) year working for ANMC Travel Management Office as a Patient Travel Coordinator I.
- Successfully mastered Two (2) of the following areas of travel duties: Sabre or the primary booking software used at the TMO, navigating and documenting within all ANMC software applications to include but not limited to SharePoint, AFHCAN, and Cerner, Tribal Travel and ANMC Travel Rules and Regulations, refunding, exchanging, reconciliation, and invoicing processes for Medicaid and non-Medicaid travel.
- Proficiency in Windows-based operating systems, MS Office, Adobe Professional, and electronic health record navigation.
- One (1) or more years working as a travel agent or reservationist.
Skills
- Knowledge of customer service concepts and practices.
- Knowledge of the Privacy Act of 1974 and HIPAA Privacy Rule Act of 1966.
- Knowledge of state, federal, and tribal health care programs.
- Knowledge of state, federal, and public/private insurance, including Medicaid/Medicare.
- Ability to work independently or as part of a team.
- Ability to deal with distressed customers.
- Strong grammar, spelling, sentence structure, and effective business letter writing skills.
- Skilled in operating office equipment, including copiers and fax machines.
- Ability to interpret state, federal, and public/private insurance financing.
- Ability to establish and maintain cooperative working relationships with others.
- Proficiency in using a personal computer utilizing a variety of software applications.
