About the role

This position is responsible for performing as a customer service representative for assigned divisions, accurately obtaining and entering all essential information needed to complete registration and scheduling processes following standard business practices. It involves providing service to internal and external customers as a member of the clinic team, coordinating all necessary paperwork for registration, scheduling, and appointment, collecting and maintaining patient insurance information, managing no-show and cancellation processes, confirming appointments with patient/guardian, preparing charts with the appropriate paperwork for the physician visit, communicating with patients and providers, and processing medical record requests.

Responsibilities

  • Answer phone lines in a prompt and courteous manner, triage calls and handle appropriately.
  • Collect, maintain and ensure accuracy of information through the use of standard business practices.
  • Coverage of travel to other primary care locations as needed for coverage.
  • Coordinate all necessary paperwork for registration, scheduling, and appointment.
  • Collect co-pays, deductibles, co-insurance and balances on accounts. End of day balancing.
  • Schedule office visits, understand visit types, templates and fundamentals of efficient scheduling.
  • Confirm appointments with patient/guardian.
  • Prepare charts with the appropriate paperwork for the physician visit.
  • Communicate with patients and providers, triaging and managing electronic communication daily.
  • Scan all new paperwork into EMR or place in patient chart.
  • Scan incoming mailed and faxed patient results into EMR and task the physician responsible for reviewing OR place information with patient chart and for provider to review.
  • Check in and checkout patients in office.
  • Coordinate the release of information and medical record process.
  • Process all incoming and outgoing medical record requests.
  • Ensure coding information is complete on billing documents.

Requirements

  • High School Diploma required.
  • Specialized training beyond high school, minimum of one to three years' experience preferred.
  • Customer Service and Healthcare experience preferred.
  • Medical Office/Call Center experience preferred.
