About the role
Organize and operate office systems related to appointment scheduling, patient intake (including data verification), charge entry, cash collection, statistical tracking, office communications, word processing, and filing of patient records.
Responsibilities
- Receive patients in a professional and caring manner.
- Gather and update demographic and insurance information respectfully and confidentially.
- Schedule and confirm appointments; obtain authorization and pre-certification.
- Document and follow up on referrals, no-shows, and cancellations.
- Answer telephone using proper phone etiquette and direct calls accordingly.
- Maintain content and organization of medical records.
- Register patients, collect payments, post charges, provide receipts, and document all financial transactions, including cash reconciliation and bank deposit preparation.
- Order clerical and clinical supplies and maintain records.
- Monitor waiting rooms and keep patients informed of schedule delays.
- Advise families on obtaining Medicaid coverage and/or Nemours Financial Assistance for their children.
- Assist with transportation arrangements and patient flow.
- Prepare office communications.
- Participate in quality improvement activities.
- File patient charts, correspondence, and related documentation; scan documents into EPIC.
- Maintain inventory of supplies and forms.
- Open, sort, stamp, and distribute mail, lab reports, and consultation reports for provider review.

Requirements
- High School diploma or equivalent.
- Minimum 2 years of medical experience.
- Computer and typing skills required.
- Clerical experience in a physician's office preferred; EPIC experience preferred.
