About the role
As the first point of contact for our patients, the Patient Services Coordinator plays a vital role in creating a welcoming and positive patient experience. This position is responsible for front desk operations, scheduling, patient check-in and rooming, payment collection, insurance support, and administrative coordination to ensure the clinic operates efficiently. The ideal candidate is organized, friendly, detail-oriented, and passionate about providing exceptional customer service.
Responsibilities
- Welcome patients, check them in, and room them for appointments
- Schedule appointments and coordinate patient flow
- Enter and update patient demographic and insurance information accurately
- Answer incoming phone calls professionally and direct calls as needed
- Review and explain insurance benefits, billing questions, and out-of-pocket costs with confidence and compassion
- Collect and process patient payments
- Monitor and respond to clinic emails, text messages, and faxes throughout the day
- Complete bi-monthly inventory and keep snacks and supplements stocked
- Maintain a clean, organized, and welcoming reception area
- Prepare bank deposits twice weekly and maintain End of Day reports
- Support providers and clinic staff with administrative tasks
- Attend monthly, quarterly, and annual meetings as needed
- Maintain compliance with HIPAA and company policies
Requirements
- High school diploma or equivalent required (Associate degree preferred)
- Previous healthcare or medical front office experience preferred
- Excellent customer service and communication skills
- Strong organizational skills with the ability to multitask in a fast-paced environment
- Comfortable discussing insurance benefits and patient financial responsibilities
- Proficient with computers, email, and electronic communication
- Ability to maintain confidentiality and professionalism
- Must successfully pass a criminal background check
Schedule
- Monday: 8:00 AM – 5:00 PM
- Tuesday: 8:00 AM – 7:00 PM
- Wednesday: 8:00 AM – 1:00 PM
- Thursday: 7:00 AM – 5:00 PM
- Friday: 8:00 AM – 5:00 PM
- Saturday: 8:00 AM – 12:00 PM (Required to work 2 Saturdays per month; 3 Saturdays during months with five Saturdays.)
- Sunday: Closed
