About the role

The US Oncology Network is seeking a full‑time Patient Services Coordinator to join the Office Administration Department at Texas Oncology, located at 3001 E. President George Bush Highway Suite 100, Richardson, Texas. The position supports clinic operations, greets patients and families, registers and schedules appointments, and handles a variety of administrative tasks. Texas Oncology is the largest community oncology provider in the United States, delivering high‑quality, evidence‑based cancer care across more than 280 sites in Texas.

Responsibilities

  • Greet patients and visitors promptly, courteously, and professionally.
  • Check‑in patients and notify clinical staff of arrivals.
  • Provide and explain paperwork for patients to complete prior to examination.
  • Collect, proof, and file patient forms; update demographics and insurance information in the system.
  • Collect co‑pays and balances, and provide receipts.
  • Answer, screen, and respond to routine calls and questions; route calls or take thorough messages.
  • Page clinic personnel as appropriate and communicate messages accurately and timely.
  • Check patients out after examination and schedule follow‑up appointments according to physician or office guidelines.
  • Provide patients with appointment details, directions, instruction sheets, and other relevant information.
  • Record cancellations and missed appointments, reschedule as needed, and note changes in patient charts.
  • Provide general administrative support, including filing charts and forms, maintaining a neat lobby, and ensuring an adequate supply of forms and office materials.
  • Adhere to confidentiality, state, federal, and HIPAA regulations regarding patient records.
  • Perform other duties as requested, such as typing memos and forms.

Qualifications

  • Level 1: High school diploma or equivalent required; some receptionist or office experience preferred; proficiency with computer systems and Microsoft Outlook, Word, and Excel required; must complete required e‑learning courses within 90 days.
  • Level 2 (includes Level 1 requirements): Minimum 18 months front‑medical office receptionist experience with insurance forms and scheduling software; knowledge of practice personnel and daily routines a plus.
  • Level Sr (includes Levels 1 & 2 requirements): Minimum 5 years front‑medical office receptionist experience with insurance forms and scheduling software.

Physical Demands

  • Regularly required to sit and use hands to finger, handle, or feel.
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Occasionally lift and/or move up to 30 pounds.
  • Vision and hearing corrected to normal ranges.

Work Environment

The role involves frequent interaction with patients and staff in a clinic setting. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Schedule

Typical work week: Monday through Friday, 8:30 a.m. – 5:00 p.m.
