About the role

The Patient Services Associate provides front desk support in a student health setting, serving as the primary point of contact for patients as they arrive and depart. This role focuses on accurate patient registration, insurance verification, and appointment scheduling while delivering a welcoming, service-oriented experience. The position supports a growing clinical team and an increasing patient volume, contributing directly to the health, well-being, and overall success of a vibrant student population.

Responsibilities

  • Check patients in and out efficiently and accurately for nearly all of the workday.
  • Confirm patient identity and verify demographic information at each visit.
  • Enter and verify medical insurance information in the system for all patients.
  • Schedule follow-up appointments, office visits, and triage appointments as needed.
  • Support patient inquiries in person and by phone, providing clear and courteous information.
  • Handle walk-in patients, ensuring they are registered and directed appropriately.
  • Use the EPIC system to manage patient registration, documentation, and scheduling workflows.
  • Maintain a professional and welcoming front desk environment for students and visitors.
  • Collaborate with clinical and administrative staff to support smooth patient flow and timely care.
  • Protect patient confidentiality and follow all applicable privacy and compliance guidelines.
  • Arrive on site before the clinic opens to ensure the front desk is ready for patients.
  • Remain on site as needed until the last patient has been seen and checked out.

Essential Skills

  • At least 2 years of experience supporting the front desk within a medical facility.
  • Demonstrated experience with patient registration and front desk operations in a healthcare setting.
  • Epic experience, with the ability to navigate and use the system for registration and scheduling.
  • Strong communication skills, including clear verbal and written interaction with patients and staff.
  • Patient-centered, professional approach with proven customer service skills.
  • Able to accurately enter and manage patient information and demographic data.
  • Reliable in maintaining a consistent schedule and arriving before the clinic opens.
  • Comfort working in a fast-paced environment with increasing patient volume.

Additional Skills & Qualifications

  • Experience entering and verifying medical insurance information.
  • Familiarity with student health or higher education healthcare environments.
  • Interest in working within a preventive care and holistic wellness model.
  • Desire to collaborate within a team-based care environment that includes clinicians, nurses, mental health providers, and administrative staff.
  • Motivation to grow professionally by working in an academic and public health–oriented setting.

Work Environment

This is an onsite role in a student health clinic that operates Monday through Friday from 8:00 a.m. to 5:00 p.m. The front door unlocks at 7:50 a.m., so the Patient Services Associate is expected to arrive by 7:45 a.m. to ensure the front desk is ready for patients. Staff must remain on site until the last patient leaves, and there may be occasional days when patients remain past 5:00 p.m. The environment emphasizes preventive care, holistic wellness, and manageable caseloads rather than high-acuity, high-stress clinical demands. The role uses EPIC as the primary system for registration and scheduling and involves regular interaction with clinicians, nurses, mental health providers, and other administrative staff in a collaborative, team-based model. The setting is professional and patient-facing, with an expectation of appropriate, professional attire suitable for a healthcare front desk. Pay And Benefits

The pay range for this position is $20.00 - $22.00/hr.
