Full-time position, 40 hours per week: Monday to Friday, 8:00am to 5:00pm.

About the role

Responsible for the smooth flow of patients and their information through the office. Completes the secretarial/reception and clerical duties of the office at Putney Family Healthcare in Putney, Vermont.

Responsibilities

  • Demonstrates the ability to organize the office efficiently and effectively.
  • Determines patient needs and directs them accordingly.
  • Organizes the schedule to maintain a steady flow of patients.
  • Schedules inpatients daily with appropriate status noted by patient's name.
  • Completes and sends inpatient schedule to nursing units and communicates any changes.
  • Completes outpatient schedules by accurately noting time/date.
  • Checks patients in and ensures appropriate registration status.
  • Communicates any changes to the clinician's schedule by noting it in the schedule.
  • Accepts information for patient referrals and procures required information prior to initial evaluation.
  • Communicates referrals for speech to Speech-Language Pathology (SLP).
  • Reviews daily charges and verifies billing is completed for all patients seen.
  • Balances day-end reports against the schedule account of the day.
  • Accurately communicates necessary corrections to staff and verifies corrections are completed.
  • Monthly discharge from the system patients who are no longer active cases.
  • Directs patient questions regarding billing.
  • Demonstrates proficiency with word processing; develops and updates department forms.
  • Assists in the development of new office and clinical forms.
  • Accurately maintains department inventory of office and clinical supplies.
  • Maintains office equipment and calls for service when appropriate.
  • Inventories office and clinical supplies weekly to maintain adequate stock.
  • Completes appropriate requisitions for needed items and distributes supplies in a timely manner.
  • Performs secretarial tasks such as filing, mail distribution, and chart assembly accurately and timely.
  • Pulls files for each staff member at the end of each workday for the next day.
  • Files paperwork accurately before the end of each workday.
  • Maintains medical files in an orderly fashion.
  • Distributes outgoing and incoming mail accurately each morning and afternoon.
  • Prepares patient charts prior to their initial visit.
  • Assists in identifying appropriate staff coverage to meet operational needs.
  • Trains and supervises other office staff to ensure productivity and quality of work.
  • Assists in maintaining patient satisfaction and confidentiality.
  • Assists the Department Manager by addressing day-to-day operational issues in accordance with established policies/procedures/protocols.
  • Acts as the resource person for staff regarding unit/specialty-specific policies and procedures.
  • Assists staff in solving problems regarding administrative support or clinical and operational issues.
  • Communicates with department staff to ensure they remain current on policies and procedures.
  • Oversees workflow management to ensure efficient utilization of staff.
  • Keeps the manager informed of any actual or potential concerns that may adversely impact the department.
  • Assigns performance of selected tasks to competent staff while retaining accountability.
  • Acts as a role model for staff by adhering to standards of practice.
  • Provides ongoing feedback to the manager regarding staff performance.

Requirements

  • High school diploma or equivalent education.
  • One-year previous experience in a reception or secretarial position required.
  • Word processing experience essential.

Physical Demands

  • On-the-job time is spent standing, walking, sitting, talking, or hearing.
  • Position requires lifting or exerting force up to 10 pounds.
  • Vision requirements include close vision, color vision, and ability to adjust focus.
  • Hearing requirements include the ability to hear calls and instructions from physicians, department staff, and others.
  • Typical noise level for an office environment is moderate.

Pay

$18 - $26.22 per hour.
