Responsibilities

  • Provide outstanding and professional customer service to ensure efficiency and promote a positive patient experience.
  • Warmly greet and check-in arriving patients; evaluate priority and direct patients appropriately according to urgency and subject matter.
  • Ensure patients have a comfortable and inviting environment by maintaining a clean lobby.
  • Answer telephone in a polite and timely manner, screen phone calls, retrieve messages, distribute voicemail messages and faxes to appropriate staff.
  • Check-in desk duties:
    • Verify patient information and direct patients according to instructions.
    • Perform BACs, obtain patient signatures on lab slips, and label specimens as required.
    • Instruct and supervise patients in providing urine samples (U/A), read temperature of U/As, accept U/As, and place patients in medicating queue.
    • Prepare U/As for transport to lab, process instant U/As, and enter results in patients’ medical records.
    • Provide missing information on ADL lab slips and return to lab for processing.
    • Re-stock supplies, close check-in desk, and send end-of-day reports.
    • Maintain inventory of ADL supplies and order accordingly.
  • Administrative/Billing duties:
    • Collect fees and record payments; coordinate accounts receivable including billing and insurance authorization processes.
    • Photograph clients and prepare client ID cards.
    • Electronically prepare medical records for new admissions and accompanying information.
    • Process client refunds and type correspondence for clinic staff, including letters to outside agencies and interoffice memorandums.
    • Participate in clinical staff meetings and take minutes.
    • Process DDAP for DMHAS client tracking requirements, admissions, and discharges.
    • Complete client fee contracts, update lobby boards, and process late letters in a timely manner.
    • Perform other clerical, secretarial, or technical duties as directed.
  • Generate reports:
    • Daily reconciliation of client fee reports.
    • Patient test status reports.
    • Weekly fee reports and monthly client collateral tracking reports.
    • Other data collection and reports as requested by the clinic supervisor.
  • Order office and IOP supplies according to the monthly budget, maintain inventory, and keep supply areas neat and clean.

Requirements

  • A high school diploma or GED equivalency.
  • Three years of general secretarial experience or a two-year business degree with one year of secretarial experience.
  • Effective communication skills.
  • Competency in basic medical assisting skills, interacting with patients, and ability to assess and communicate psychological observations.
  • Positive, customer-focused approach with a commitment to providing excellent patient care.
  • Proven ability to work effectively in a team environment.
  • Experience with Electronic Medical Records preferred.
  • Strong computer skills and solid working knowledge of Microsoft Office Software.
  • Strong organizational skills and attention to detail.

Schedule

5:30 AM through 1:30 PM, 35 hours per week.
