Patient Service Representative

We are looking for a Patient Service Representative to join the team in our Physical Therapy department. In this front‑desk role you will be the first face our patients see, greeting them as they arrive, checking them in, and helping set the tone for a positive experience from the moment they walk through our doors.

Responsibilities

• General reception, including greeting patients and answering phones
• Check‑in patients and verify appointment and billing information
• Schedule appointments
• Collect co‑pays and co‑insurance
• New patient intake & registration
• Review paperwork for completeness
• Input patient demographic information in the computer system
• Review benefits with patient
• Review missed‑appointment policy with patient
• Set up FOTO intake survey
• Check‑out patients and schedule follow‑up appointments per the clinician’s instructions
• Assist clinical staff with follow‑up FOTO status surveys
• Assist Central Billing Office (CBO) with medical records requests per policy & procedure
• Monitor/track plans of care (POC’s) for certification
• Log discharged patients in the computer system
• Scan documentation, prescriptions, protocols, flow sheets, HEP’s, and other information into the patient’s electronic medical records
• Maintain active patient statistics and scheduled appointments
• Other responsibilities as needed

Qualifications

• High school diploma or GED
• Minimum of two years of experience in a customer‑service setting, preferably at least one year as a receptionist in a medical office
• Knowledge of medical terminology
• Exceptional customer‑service skills
• Experience working with an EMR/PM system
• Exceptional written, verbal, and interpersonal communication skills
• Highly organized with strong attention to detail
• Quick thinker with ability to pivot in a fast‑paced environment
• Ability to multi‑task in a high‑volume environment

Schedule

40 hours per week. Hours: 6:30 am – 6:00 pm Monday‑Thursday; 6:30 am – 4:00 pm Friday.
