About the Role

Excelsia Injury Care is seeking an Office Manager to oversee daily operations of a medical office, ensuring exceptional patient care and aligning with the company’s mission and ESG goals. This role involves managing staff, maintaining office records, and coordinating with various departments to support the delivery of high-quality healthcare services.

Responsibilities

  • Oversee daily operations of the medical office and maintain on-site presence during business hours.
  • Hire, train, and supervise all location support staff (excluding doctors).
  • Post patient charges and payments, verify patient information, and maintain insurance status records.
  • Manage schedules for doctors, patients, and staff.
  • Inventory and order medical and office supplies.
  • Tabulate payroll, track PTO time, and review daily/weekly/monthly paperwork.
  • Maintain office records, including OSHA, employee files, and maintenance documentation.
  • Ensure proper staffing and perform any necessary duties to maintain office operations.
  • Interface with departments such as billing, MIS, marketing, human resources, and other offices.
  • Maintain a neat, clean, and orderly office environment.
  • Dispense medications and maintain proper documentation.
  • Hold weekly staff meetings, complete weekly stats, and maintain monthly goals.
  • Travel to other offices within the region for coverage if designated as a floating Office Manager.
  • Ensure compliance with company-required trainings and conduct one-on-one meetings with direct reports.
  • Lead team meetings, complete performance reviews, and provide constructive feedback.
  • Uphold core values, ensure legal and ethical compliance, and integrate ESG principles into business practices.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED equivalent.
  • 2 years of medical office experience preferred.
  • Knowledge of computers and medical office procedures.

Qualifications

  • Excellent verbal and written communication skills.
  • 1-2 years of supervisory experience.
  • Problem-solving and organizational skills.
  • Typing speed of 40+ WPM.
  • Knowledge of insurance, workers’ compensation, and personal injury.
  • Certification such as Chiropractic Assistant, Medical Assistant, or Radiological Technologist preferred.
  • Ability to interact effectively with doctors, attorneys, patients, and co-workers.
  • Willingness to travel to other offices for coverage as needed.

Physical/Mental Requirements

  • Sitting, standing, walking, reaching above shoulder length, working with body bent over at waist, working in kneeling position, climbing stairs, climbing ladders, working with arms extended at shoulder length, lifting up to 20 lbs.
