Description
Trinity Health's Detroit Health Ministry (DHM) serves the primary care needs of uninsured and underinsured adults in Michigan. The DHM aims to remove barriers to healthcare access and coordinates specialty care through partnerships. Day-Hours at Trinity Detroit: Monday to Friday, 8:30 AM - 5 PM, Thursday 11:30 AM - 8 PM.
General Summary
Performs a variety of routine registration duties including data entry, form preparation, and filing. Greet visitors and direct them to appropriate areas. Answers phones and routes calls. Manages incoming and outgoing mail. Schedules appointments and processes office supplies.
Primary Duties And Responsibilities
- Utilizes EPIC to coordinate patient visits.
- Completes, prepares, and assembles standard forms and records.
- Contacts other departments and information sources for necessary information.
- Sorts, classifies, and files materials using multiple systems.
- Maintains logs of work activities and updates records and files.
- Responds to routine inquiries regarding file status and location.
- Acts as a contact person for information requests from other departments.
- Answers telephones and routes calls appropriately.
- Takes and relays messages according to established procedures.
- Opens, sorts, and routes incoming mail.
- Processes outgoing mail and packages.
- May receive and greet visitors, patients, and/or employees.
- Ensures amenities are available and notifies appropriate staff.
- Schedule appointments for patients or other visitors.
- Gather information from patients/visitors and perform registration and/or processing tasks.
- Orders and maintains office and/or medical supplies.
- Keeps work and visitor areas clean and organized.
- Assists with maintaining departmental computer database files and data for quality assurance and statistical reporting.
- Performs a variety of general clerical duties such as copying, collating, running errands, assembling and distributing packets, mailings, and memos.
- Assists in scheduling meetings and maintaining calendars.
- Performs duties specific to the functions and needs of the department.
- Maintains good rapport and cooperative relationships.
- Approaches conflict in a constructive manner.
- Helps identify problems, offers solutions, and participates in their resolution.
- Maintains the confidentiality of patient, physician, employee, and visitor information.

Qualifications
- High school diploma or equivalent combination of education and experience.
- Additional formal clerical and computer training desirable.
- Familiarity with basic clerical support procedures, usually gained through six months or more of clerical office experience.
- Accurate typing and data entry skills.
- Accurate spelling and grammar, and attention to detail.
- Ability to sort in alphabetic and numeric sequence.
- Telephone skills and ability to operate office equipment such as personal computers, copiers, fax machines, and printers.
- Interpersonal skills to effectively communicate with a wide range of staff, physicians, medical professionals, patients, visitors, and other organizational personnel.
- Organizational skills to prioritize multiple tasks, meet deadlines, and adapt quickly to changes and interruptions.
