About the Role

The Patient Experience Coordinator is a key part of the patient journey, creating a welcoming and seamless experience from the first interaction. This role supports scheduling, patient check-in and check-out, incoming calls, payments, and day-to-day clinic operations while partnering closely with clinical and administrative teams. This is a full-time, onsite position in Bentonville, AR.

New to Fertility? We’ll Train You. Fertility experience is not required. We’re open to training the right person on the fertility side of the role. Whether you bring strong customer service experience, are a recent graduate, or are looking to pivot into healthcare, we’re looking for someone who is compassionate, eager to learn, adaptable, and excited to grow in reproductive medicine.

Responsibilities

  • Welcome and check in patients while creating a professional, compassionate experience.
  • Verify demographic, insurance, and appointment information.
  • Manage incoming calls, patient questions, and appointment scheduling.
  • Maintain accurate and confidential patient records within the electronic medical record.
  • Process billing information, copays, and patient payments.
  • Partner with clinical and administrative teams to support efficient clinic operations.
  • Help resolve patient concerns and connect patients with the appropriate team member.
  • Maintain an organized and welcoming reception environment.
  • Float between Washington clinic locations based on staffing and operational needs.
  • Support additional projects and administrative responsibilities as assigned.

Requirements

  • High school diploma or equivalent required.
  • 1-2 years of experience in customer service, hospitality, healthcare, a medical office, or another patient- or customer-facing environment preferred.
  • Strong communication, organization, and problem-solving skills.
  • A compassionate, patient-focused approach.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and ability to work collaboratively across teams.
  • Professionalism and empathy when supporting patients through sensitive situations.
  • Proficiency with electronic medical records, scheduling systems, and basic computer applications preferred.
  • Curiosity and enthusiasm for learning about fertility and reproductive healthcare.
