Patient Experience Coordinator

About the role
The Patient Experience Coordinator is the first face our patients see and the first voice they hear, and that moment matters more than most. This is a role for someone who brings professionalism to patient-facing work and understands that in this setting, warmth and composure aren’t just nice to have—they’re part of the care.
Schedule
- Full-time position at 40 hours per week, Monday through Friday 7:30am–4:00pm
- One weekend shift per month and some holiday rotations
- Based primarily at our Dallas (Perot) location with occasional weekend coverage at our nearby Plano location (approximately every 4–6 weeks)
Responsibilities
- Greet and check in patients with warmth and professionalism
- Collect service payments and reconcile daily transactions
- Manage incoming calls and route them accurately to the right teams, prioritizing by urgency
- Guide patients through clinic policies and assist with required forms
- Verify and document insurance benefits and coverage in patient charts
- Log all interactions accurately in the electronic health record (EHR)
- Coordinate with care teams on schedule changes and patient flow
- Handle filing, scanning, and faxing to support daily operations
- Uphold HIPAA regulations and maintain strict patient confidentiality
- Cover other Patient Services Representative roles during absences as needed
Requirements
- Demonstrated experience delivering exceptional customer service in a professional setting; healthcare or clinical front desk experience is a plus but not required
- Bilingual in English and Spanish is highly valued
- Comfort managing competing priorities in a fast-paced clinical environment
- The ability to make patients feel heard and at ease, even when they’re stressed or scared
- Proficiency with EHR systems or a demonstrated ability to learn software quickly
- Familiarity with insurance verification and clinic procedures is a plus; we provide training
- High school diploma required; associate or bachelor’s degree preferred
