Key Responsibilities
- Patient Registration & Check-In
- Greeting, registering, and verifying demographic, insurance, consent, and contact information
- Collecting and processing copayments following standard cash-handling procedures
- Verifying insurance eligibility, obtaining authorizations, and documenting results accurately
- Providing clear explanations of check-in steps, insurance requirements, and payment expectations
- Scheduling & Communication
- Answering and routing phone calls with professional customer service
- Scheduling and rescheduling appointments
- Maintaining daily schedules and communicating changes to clinical staff
- Processing urgent specialist referrals, appointment ticklers, and medical record release requests
- Administrative & Clerical Support
- Filing, faxing, scanning, and uploading documents into the EHR
- Reviewing patient accounts for outstanding balances or documentation errors and partnering with billing to resolve issues
- Preparing, routing, and managing medical documentation to ensure accuracy and confidentiality
- Compliance & Privacy
- Maintaining full HIPAA compliance and safeguarding patient information
- Identifying and reporting potential privacy breaches, compliance risks, or billing concerns
- Auditing charts, registration data, and referral documentation to correct compliance issues
- Operational Support
- Coeordinating scheduling across multiple providers or departments to support efficient patient flow
- Supporting the Practice Manager and care team with assigned administrative tasks
- Participating in workflow redesign initiatives, departmental audits, and implementation of new systems
- Preparing and distributing operational reports related to scheduling, registration accuracy, or service metrics
- Demonstrate Excellent Guest Service & Composure
- Demonstrate excellent guest service and maintain composure during high-volume or challenging situations
- High school diploma or equivalent
- Minimum 1 year of front-office experience, preferably in a healthcare setting
- Excellent customer service skills required
- Ability to multitask in a fast-paced environment
- Familiarity with EHR systems; Athena experience a plus
- Understanding of HIPAA and privacy standards
