About the role
This 12-hour-per-week position supports patient care units with reception, clerical, and medical record functions. The PTC Admin Tech reflects Northwestern Medicine’s mission, vision, and values, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines, and accreditation standards. The role requires flexibility during initial orientation and no weekend assignments.
Responsibilities
- Performs unit-based reception, clerical, and medical record functions while maintaining a customer-oriented approach.
- Serves as liaison between patient care units and other departments.
- Works under RN/MD supervision to deliver skilled care in the clinic setting.
- Utilizes initiative to maintain productivity, including decentralized laboratory tests, specimen collection, EKGs, and other unit-specific skills.
- Provides basic patient care to non-critically ill patients and assists in maintaining a safe, clean environment under RN direction.
- Reinforces patient teaching previously delivered by the RN.

- Provides accurate information and timely updates to patients, families, and staff; addresses questions and concerns promptly.
- Assists patients with wayfinding and uses effective service recovery when issues arise.

- Consults other departments to support an interdisciplinary approach to patient needs.
- Involves patients and families in care planning under RN direction.
- Provides explanations to patients and families prior to administering care and answers questions within scope of practice.
- Communicates observed changes in patient status promptly to the RN.
- Clarifies special procedures or observations with the RN as needed.
- Communicates patient progress and diagnostic results to the RN.
- Prepares medical records for new admissions and disassembles charts upon discharge; maintains proper record assembly and chronological order.
- Obtains patient and physician signatures and documents accurately.
- Transcribes physician orders and clinical data; enters and verifies orders in the computer to ensure timely delivery of services.
- Reviews open and future orders reports to ensure accurate patient charges.
- Orders supplies and special equipment using recommended guidelines.
- Generates, maintains, and prints forms, records, and tools necessary for patient care.
- Faxes orders in a timely manner and dates/time-stamps completed orders.
- Notifies RN of missing MD order requirements (date, time, MD numbers).
- Ensures documentation meets current standards and is timely, accurate, complete, and legible.
- Reports to the unit within five minutes of official start time; follows dress code and attendance policies.
- Participates in unit-wide and department-wide quality improvement activities.
- Demonstrates computer competence for order entry, results, documentation, and policies.
- Operates and cleans equipment safely according to standards.
- Functions effectively under stress with flexibility and organization.
- Answers telephones politely and communicates information to appropriate staff, families, or patients.
- Registers patients in the computer system.
- Performs basic patient care responsibilities including vital signs, skin care, and personal care appropriate to patient age and standard of care.
- Maintains clean, neat patient rooms and a presentable environment.
- Supports daily schedule by expediting on-time starts and efficient patient flow through the physician treatment center.
- Collects and labels specimens (tissue, urine, stool, sputum) accurately according to policy.
- Identifies and transports blood/blood components and specimens using appropriate bloodborne pathogen precautions.
- Follows standard precautions and NM infection control policies consistently.
- Demonstrates thorough knowledge of sterile technique principles.
- Assists physicians with minor procedures, sterile skin preps, and dressing changes under direct supervision.
- Performs all aspects of patient care in an environment that optimizes patient safety and reduces medical/healthcare errors.
- Assists in reporting and resolving medical/healthcare errors.
- Assists with patient admission, orients patients and families to the room, aids with ambulation/positioning, prepares patients for discharge/transfer, and transports patients as needed.
- Performs phlebotomy according to NM policy and procedure.
- Maintains supplies, equipment, and instrumentation; charges patients appropriately and restocks supplies.
- Participates in shared governance, committee work, or unit projects.
- Attends at least 75% of departmental staff meetings annually.
- Maintains education record and participates in annual competencies.
- Identifies strengths, weaknesses, learning needs, and goals; develops and partners with manager on an annual learning plan.
- Participates in continuing education activities.
Qualifications
- High school graduate or equivalent.
- Current Basic Life Support (BLS) certification.
- Basic computer knowledge.
- Ability to communicate effectively in English, both verbally and in writing.
- Ability to assess when an interpreter is needed and to use interpreter services effectively.
- Excellent customer service skills.
Preferred: Healthcare or medical office experience; additional languages; knowledge of medical terminology.
