The Role

The Patient Administrative Specialist (PAS) is responsible for handling new patient coordination, surgery scheduling, and other front office functions in the outpatient clinical setting. They also support administrative tasks related to the daily operations of the clinic.

Responsibilities

  • Greeting and assisting patients, completing registration check-in & check-out, verifying insurance information, and answering general questions about appointments, authorization, payments, billing, and schedules.
  • Seeking, identifying, and resolving simple escalations, and escalating complex issues as defined by clinic-specific pathways.
  • Tracking and managing incoming referrals and scheduling appointments for patients in a timely manner, adhering to scheduling instructions, referral guidelines, and insurance eligibility.
  • Handling a significant volume of inbound and outbound patient calls, efficiently taking and routing messages, and managing patient correspondence.
  • Maintaining documentation, managing faxes, mail, and filing documents, and maintaining databases.
  • Using phone and electronic medical records systems to process forms.
  • Welcome and orient new PAS staff members to best practices.

Requirements

  • High School Diploma/GED.
  • At least one (1) year of related healthcare experience (including external experience).

Skills

  • Strong written and phone/verbal communication skills.
  • Familiarity with complex or multi-line phone systems.
  • Strong time management and organizational skills.
  • Ability to solve problems and manage multiple priorities.

Plus

  • Strong proficiency in at least one specialized function such as medication prior authorization, specialized data collection & coordination, cross-training to support multiple providers, services, and/or departments, surgery/procedure scheduling, or new patient coordination.

Education & Experience

  • High School Diploma/GED.
  • At least one (1) year of related healthcare experience (including external experience).

Physical Demands and Work Conditions

  • Frequent sitting.
  • Occasional walking, standing, bending, kneeling, twisting, reaching (above shoulder level), pushing, pulling, lifting (0 - 10 lbs., 11 - 20 lbs., 21 - 30 lbs., 31 - 40 lbs., 40+ lbs.).
  • Constantly works in an office setting that is adequately lighted, heated, and ventilated.
