Patient Access Coordinator - Full Time Evenings

Status: Full time, 40 budgeted hours per week, evening shift
About the role
Under the guidance and direction of the Patient Access Supervisors, employees in this position are the initial point of contact for patients entering the Health System for care. This role requires exceptional customer service skills, the ability to maintain the highest level of professionalism with each interaction, and the ability to support those with diverse cultural needs. This role supports multiple technical tasks needed to ensure patients are appropriately identified, registered, and scheduled for their care needs.
Responsibilities
- Function with ease in all areas of the Patient Access Department, meeting a department standard of 98% accuracy rate when identifying, scheduling, and registering patients.
- Collect 30% of eligible copayments.
- Monitor and manage workflow as directed in the health system's EHR.
- Display understanding and sensitivity to each patient's unique cultural needs.
- Demonstrate independence, proficiency, and accuracy with all scheduling and registration processes, ensuring all regulatory and compliance requirements are maintained.
- Coordinate Bed Placement Activities, collaborating with Patient Flow Facilitators and Nursing Leadership to prioritize appropriate location of care.
- Know patient precautions and infections before placement on a nursing unit.
- Monitor bed occupancy within the hospital and maintain appropriate bed numbers based on nursing staff.
- Act as a point of contact for attending physicians on all Pedi, Elective Pre-operative, and Chemotherapy patients needing admission, collaborating on placement with appropriate nursing units.
- Review elective surgical procedure schedules to assure appropriate utilization of patients and placement to specialty Nursing floors.
- Coordinate and collaborate with Patient Flow Facilitator, ACC, Case Managers, and ED Nursing Leadership to monitor patient flow barriers, patient level of care, and acuity for appropriate placement.
- Act as a key contact for Physicians and Nursing staff on patient information and placement (Floor Manager/Emergency Department).
- Monitor bed requests, assemble necessary paperwork including federal and state regulated documents, and enforce physician suspension list.
- Support patient arrival for care, ensuring patients are identified, registered, and regulatory needs are met and maintained, including during system downtimes using manual processes.
- Manage Death Process:
- Complete accurate Death Certificate Worksheet.
- Upon notification of death, place call to State Medical Examiner for Emergency Department deaths.
- Monitor and communicate with New England Organ Bank for release or donation following Federal Law and Regulations.
- Assure death certificate is completed accurately 100% of the time.
- Conduct chart review of all deaths for match of date and time of death and medical legal status under M.G.L. C 38, 3.
- Release to Funeral Directors per Massachusetts General Laws.
- Embrace technological solutions to work processes and practices, including:
- Function using department computer programs, including Internal/External websites.
- Understand and manage computer downtime processes.
- Review, analyze, and act upon insurance eligibility system responses.
- Manage own API (timecard) system.
- Foster a “Culture of Safety” through personal ownership and commitment to a safe environment:
- Adhere to patient identification policies/procedures.
- Understand individual roles/responsibilities during hospital codes (e.g., Code Disaster, Code Red).
- Adhere to universal precautions and respiratory etiquette guidelines.
- Demonstrate completion of NIMS 100 training.
- Effectively manage scheduling requests, ensuring patients are properly identified in the health system's EHR and scheduled to the appropriate appointment type.
- Accurately and independently schedule required appointment types, including scheduling, canceling, rescheduling, and managing waitlists for designated areas.
- Work independently to complete daily assignments.
- Complete with 98% accuracy all required registration items, including:
- Demographic requirements.
- Patient identification practices.
- Scanning and photographing of required patient information.
- Interpreting and leveraging insurance eligibility systems to ensure appropriate insurance coverage for patient care.
- Leveraging financial counseling teams as needed.
- Accurately check patients in for elective, emergent, and urgent care.
Requirements
- Minimum one (1) year admitting experience to become proficient.
- Computer experience required.
- Strong telephone and interpersonal communication skills.
- Demonstrated skills in customer service.
- Knowledge of medical insurance.
- Able to demonstrate problem-solving and critical thinking skills.
Qualifications
- High school diploma preferred, two (2) years of college preferred.
Pay
Pay Range: $20.05 - $26.98 per hour
Schedule
Shifts vary weekly, including every other weekend and rotating holiday schedule. This position is located in the Emergency Department at SSH.
