About the role

This position transcribes technical medical data from recorded and written dictation for multiple distinct Anatomic Pathology services; records patient information for accurate maintenance of transcription records. Performs transcription and other clerical duties as required for special departmental projects and conferences. Coordinates referred outside consult cases and pathologic material request. Performs other related duties as they arise in a developing environment.

Responsibilities

  • Transcribes and types using the Anatomic Pathology (AP) LIS Computer System multiple, distinctly formatted, pathologic medical reports, such as patient clinical history, gross and microscopic final diagnoses for surgical pathology reports, neuropathology reports, and electron microscopy reports.
  • Collaborates with non-pathology departments for the procurement, transcription and preparation of special procedural interpretation reports.
  • Coordinates and manages Autopsy findings, documents, and reporting.
  • Transcribes and prepares all diagnostic reports from recorded and written dictation in an accurate manner as assigned.
  • Coordinates with Clinical Laboratory and other hospital departmental services, i.e., Cancer Center, Neurology, ENT, etc. for the proper specimen and document procurement, processing, transcription, and timely delivery of special procedural, cytogenetic and bone marrow, diagnostic reports.
  • Coordinates and manages Autopsy clerical processing and diagnostic reporting.
  • Assures timely and proper distribution of final Autopsy reports.
  • Frequently communicates with family members, clinicians, and legal agencies for special pathologic material and report requests.
  • Manages Patients Chart and Autopsy legal documentation; permits special requests.
  • Ensures the correct spelling and usage of medical terms and other words, correct punctuation and grammar in the transcribed reports, and makes necessary corrections without changing the sentence meaning.
  • Uses login in assessing dictations, and notifies Pathologists as to concerns/discrepancies.
  • Aids other transcriptionists in identifying terminology from difficult vocal deliveries and regional variations in terminology usage.
  • Edits reports when returned from physicians/institutions in an accurate and timely manner.
  • Creates Amendments/Addendums for new results or additional add-on testing reports received and assigned to the appropriate pathologist to sign out.
  • Reviews/scans reports to verify proper placement of printing on pages as well as assuring that all essential information is in place as required by hospital and departmental policy.
  • Performs duties relative to the operation of office equipment and other clerical tasks necessary to complete transcription, special projects and conferences.
  • Operates Anatomic Pathology Computer System equipment to accurately transcribe medical reports that will be added to the patient's medical record.
  • Operates dictating mechanisms to transcribe medical reports to the Anatomic Pathology Computer System.
  • Scans/reviews Anatomic Pathology reports for number and types of specimens, and all special pathologic procedures and enters all appropriate charge codes on the report for subsequent billing.
  • Assists in maintenance of logs related to patient reports, patient specimens, specimen requests, etc., to assure tracking of all case-related needs.
  • Maintains oversight of outstanding surgical reports and follows up on any out lines to expedite diagnostic TAT.
  • Coordinates referred [outside] cases for pathologic consultation and external request for pathologic material for outgoing consultation, and also coordinates external requests for Pathology materials/slides for ongoing patient care.
  • Sets up and maintains the molecular sendout requests from interfaced & non-interfaced third-party companies.
  • Manages the molecular sendout results to ensure receipt into the patient’s chart in a timely manner.

Qualifications

  • High school diploma or equivalent.
  • Graduation from an approved Medical Transcription/Medical Secretary course.
  • One year experience as a medical transcriptionist/medical secretary.
  • One year experience as a medical transcriptionist in Anatomic Pathology.

Skills

  • Knowledgeable of personal computer and various word processing, spreadsheet, and PowerPoint programs necessary to produce material relative to special pathologic projects, i.e., administrative reports and conference minutes, tumor board reports and conferences.
