Responsibilities
- Review repair orders (R.O.s) and coordinate with dispatch/service manager for urgent or outstanding part orders requiring immediate attention.
- Track and follow up on all pending special orders (S.O.s) for purchase order confirmation, input notes on parts arrival or E.T.A., find alternatives, and communicate back orders.
- Restock parts to service shelves, maintain a minimum supply of vital parts, and recommend orders for low-stock products to prevent shortages.
- Check Lightspeed and the service scheduler for new R.O.s and prepare parts for necessary service work, including next-day appointments.
- Verify correct part fitment and availability status when placing orders, and notate priority.
- Manage parts-to-service inventory: review all parts received for R.O.s bi-monthly and prepare parts no longer needed for supplier returns. Process supplier returns via the supplier website and Lightspeed.
- Maintain tool stock with accurate counts, part numbers in Lightspeed, labeling where possible, and check tools in and out.
- Complete daily checklist tasks.
- Recommend to the manager parts that must be stocked or carried temporarily.
- Maintain easy access to parts catalogues and O.E.M. websites to improve efficiency.
- Monitor all inventory and report suspicious activity, such as theft, to the manager immediately.
- Upsell and add-on to R.O.s using current stock or available inventory.
- Research and stay up to date with all current model year units and new products.
- Complete all O.E.M. online training.
Qualifications
- High school diploma or equivalent.
- Computer literacy preferred.
- Interest or experience in sales and the Powersports industry preferred.
- Solid communication skills.
This position reports directly to the Parts Manager.
