About the role
The Parts Dispatch Supervisor oversees daily dispatch operations for hotshot drivers and parts runners to ensure timely and accurate deliveries. This role works closely with maintenance, operations, warehouse personnel, vendors, and field teams to minimize equipment downtime and support efficient business operations.
Responsibilities
- Cook up and prioritize parts delivery requests based on operational needs, urgency, and location
- Dispatch hotshot drivers and parts runners to ensure timely and efficient deliveries
- Monitor delivery status, route progress, and driver activity to maintain service levels
- Maintain accurate dispatch records, delivery documentation, and operational reports
- Supervise daily activities of drivers and parts runners, including workload distribution and scheduling
- Train team members on dispatch procedures, company policies, safety requirements, and delivery protocols
- Maintain employee performance and provide coaching and corrective action when necessary
- Ensure compliance with company policies, DOT regulations, and all applicable safety standards
- Coordinate with warehouse personnel, procurement teams, vendors, and field operations to secure required parts and materials
- Verify pickup and delivery information for accuracy prior to dispatch
- Resolve delivery delays, shortages, incorrect shipments, and other logistical issues
- Communicate delivery status, estimated arrival times, and service updates with internal and external customers
- Respond to urgent and emergency delivery requests in a professional and timely manner
- Track and analyze key performance indicators including delivery times, fuel usage, productivity, and order accuracy
- Identify opportunities to improve dispatch efficiency, reduce costs, and increase overall service performance
- Conduct routine inspections and reviews of vehicle readiness, documentation, and maintenance requirements
- Promote and enforce safe driving practices and proper transportation procedures
- Perform other duties as assigned
Requirements
- A high school diploma or equivalent
- At least two years of experience in dispatch, logistics coordination, transportation, or parts delivery operations
- Preferred previous supervisory or lead experience
- Knowledge of transportation, dispatch, routing, and logistics processes
- Strong organizational, planning, and multitasking skills
- Excellent verbal and written communication abilities
- Ability to work effectively in a fast-paced environment and manage changing priorities
- Proficient with Microsoft Office Suite and dispatch or fleet management software
- Familiarity with GPS tracking systems and route planning tools
- Knowledge of DOT regulations and transportation compliance (preferred)
- Experience in construction, mining, aggregate, heavy equipment, oil and gas, or industrial operations (preferred)
- Valid driver's license with an acceptable driving record
