Parts And Delivery Associate
FLSA Status: Non-Exempt
Schedule: Monday – Friday, 8:00 am - 5:00 pm
Office Status: Office (hybrid work granted based on performance and manager discretion)
About the Role
Contribute to making Southern States Material Handling a leader in the material handling industry by supporting internal and external customers in supplying parts and accessories, processing all parts needs, assisting to maintain an effective parts inventory, and delivering parts to customers for standard deliveries or pick-ups. Manage customer consignment lockers effectively.
Travel: Up to 95% local travel. This role may also require travel to other branches in Florida and Georgia.
Responsibilities
- Maintain customer consignment physical inventories by tracking and replenishing parts and accessories.
- Visit assigned customer locations weekly and perform physical count of parts inventory.
- Log the difference between what customer has versus predetermined set level, ensuring replenishment on the next visit.
- Maintain a log on each customer consignment showing customer name, last inventory date, and last parts stocking update.
- Perform parts deliveries in a safe and timely manner using a company vehicle to pick up and/or deliver parts.
- Gather parts to fulfill orders and load them into the delivery vehicle.
- Unload parts at customer locations according to their specifications.
- Review stocking amount/level suggestions with the Parts Manager before making or suggesting changes to the customer.
- Survey customer sites regularly for additional sales/solutions opportunities.
- Adhere to all company safety, safe driving, and compliance regulations and policies.
- Follow all State and federal mandated traffic laws and regulations while driving and delivering parts.
- Ensure SSMH delivery vehicles are returned to the branch nightly unless approved by the Branch Operations Manager.
- Perform standard parts associate duties if consignment duties are complete for the day/week:
- Answer incoming parts calls and process customer orders.
- Process parts orders for road and shop technicians.
- Assist and interact with walk-in customers, supporting parts needs and providing exceptional customer service.
- Process part orders in a timely and efficient manner.
- Lookup parts in inventory and electronic catalogs to supply correct part identification and retrieval.
- Create sales quotes and invoices, providing accurately priced parts and accessories.
- Participate in inventory management by receiving, stocking, and maintaining inventory in a clean and organized manner.
- Maintain accurate inventory records of stock levels and replenish as needed.
- Ensure proper documentation of all transactions and returns.
- Operate a forklift to assist in loading/unloading parts and managing inventory (only after Safety & Operator Training certification).
- Participate in Service Van Parts replenishment to support technicians.
- Occasionally deliver parts to customer locations, press tires, prepare displays, or participate in inventory counts.
- Perform any other assigned duties to help drive the company’s Vision, fulfill its Mission, and abide by its Values.
Requirements
- Must have a clean driving record and a valid Driver’s license.
- Excellent communication and organizational skills.
- Ability to read and comprehend instructions and information.
- Excellent verbal and written communication skills; ability to present information and respond to questions effectively.
- Willingness to learn the Toyota and Raymond Parts catalog.
- Proficiency with MS Office (Word, Excel, Outlook) and Windows XP.
- Ability to type 25+ words per minute.
- Goal-oriented with the ability to self-start and take on new challenges.
- Above-average time management, creativity, and cooperation skills.
- Ability to multi-task, manage multiple assignments, set priorities, and adapt to changing conditions.
- Critical thinking and problem-solving skills.
- Ability to lift up to 55 lbs.
Qualifications
- 1-2 years in parts sales preferred.
- Forklift or material handling parts sales experience or product knowledge is highly desirable.
- High school diploma or GED.
- At least 12 months of related work experience or a combination of education and work experience.
- Current ASE Parts Specialist Certification P1 or P2 is highly desirable.
- Ability to work in a constant state of alertness and in a safe manner.
Work Environment
The SSMH general working environment includes moving machinery and mechanical parts in outdoor areas, as well as office work in indoor areas. This role requires:
- Frequent driving in a company vehicle for local parts pick-up and delivery.
- Working at a desk using a computer, and frequently walking in shop areas, customer locations, painting areas, and other facility areas with moving machinery, dusty, noisy, and drafty environments.
- Exposure to fumes, airborne particles, toxic, or caustic chemicals in outdoor, well-ventilated areas.
- Walking on concrete floors with potential uneven surfaces.
- Wearing safety shoes depending on the work area.
Physical & Mental Requirements
- Prolonged periods of sitting and driving in light to heavy traffic (majority of the position).
- Sitting at a desk using a computer and monitor frequently (75% of the time).
- Visual fatigue may occur with extended computer use.
- Walking up and down stairs on carpet, tile, and concrete (50% of the time).
- Outside exposure depending on customer or delivery needs (30% of the time).
