About the role

We are seeking a proactive and organized Part-time Workplace Operations Coordinator to ensure the smooth and efficient operation of our NYC office. This onsite role is vital in fostering a welcoming environment for visitors, supporting daily office functions, and assisting with event coordination. The ideal candidate will excel in customer service, office logistics, and team collaboration, contributing to a positive workplace culture and seamless operational flow.

Responsibilities

  • Welcome visitors with a courteous, helpful, and professional demeanor, ensuring proper sign-in protocols are followed according to guest policies.
  • Receive and manage incoming packages and mail, ensuring timely distribution or storage.
  • Perform daily opening and closing procedures to maintain office security and hygiene standards.
  • Support internal staff by delivering exceptional operational and workplace support, creating a positive employee experience.
  • Assist the Workplace Lead/Manager with managing office operations including vendor relationships, reception duties, deliveries, kitchen inventory, waste management, repairs, and supplies management.
  • Help organize office-wide events, celebrations, and traditions in collaboration with the Employee Engagement team.
  • Serve as a cultural ambassador, modeling professionalism and positive communication.
  • Collaborate with People and IT teams to facilitate onboarding of new employees and ongoing operational support.
  • Greet new hires, coordinate onboarding sessions, and ensure smooth integration into the team.
  • Maintain effective communication regarding facilities or security issues with workplace team members.
  • Support space planning efforts by maintaining current seating arrangements.
  • Manage inventory of office supplies, food, beverages, and equipment, ensuring the office remains organized and well-stocked.
  • Uphold a clean, organized, and professional office environment, proactively identifying opportunities to enhance workspace functionality and efficiency.

Requirements

  • 1–3 years of experience in office administration, customer service, and operations.
  • Ability to work a set part-time schedule of 9am–5pm on Monday, Wednesday, and Friday, including flexibility for special events.
  • Proficiency in Google Suite (Google Docs, Sheets, Calendar, etc.) and other meeting and collaboration platforms.
  • Highly organized with excellent time management skills and the ability to prioritize multiple tasks.
  • Approachable, personable, and capable of building positive relationships with employees, visitors, and vendors.
  • Adaptable with the capacity to handle multiple responsibilities in a fast-paced environment.
  • Clear and effective communicator, both verbally and in writing.
  • Punctual, reliable, and committed to following through on responsibilities.
  • Demonstrates a professional, friendly personality with a strong customer service orientation.
  • Ability to learn quickly and adapt to evolving workplace processes and culture.

Preferred Skills & Experience

  • Experience coordinating events and managing office logistics.
  • Familiarity with vendor management, space planning, and inventory control.
  • Demonstrated ability to problem-solve proactively and creatively.
