About the role
The Part-Time Secretary to the Director of Human Resources reports directly to the Director of Human Resources. This position performs secretarial, receptionist, and office management functions.
Responsibilities
- Performs secretarial and administrative support functions.
- Organizes and maintains a functional filing system ensuring the safe retention of office records.
- Keeps materials properly filed to maintain an orderly office.
- Upholds Board policies and follows administrative procedures.
- Promotes a favorable image of the school district.
- Acknowledges visitors, determines the reason for their visit, answers questions, verifies appointments, directs visitors to the appropriate person or office, refers inquiries requiring policy interpretation to administrative staff, promptly answers the telephone, directs calls based on the nature of the inquiry, takes messages, learns the names of key district staff, respects personal privacy, maintains the confidentiality of and with privileged information, prepares displays and bulletin boards as directed, maintains an office calendar, schedules appointments as directed, processes incoming, outgoing, interoffice mail and faxes as needed, notifies recipients about the arrival of packages as needed, keeps the staff directory, personnel policy manual, negotiated agreement booklets, and the personnel section of employee handbook updated, prepares information for distribution as directed, schedules interviews for all job openings including substitute positions, assembles applicant files, prepares materials for interview committees, coordinates interview schedules, greets and directs interview candidates which may involve extended or adjusted hours, maintains all employee personnel files, maintains a staff database (e.g., seniority/years of service records, etc.), maintains the storage of inactive personnel files, receives staff transcripts for LPDC Committee and updates personnel file with transcript information, receives and processes certificated staff salary upgrade requests, maintains substitute files and records, maintains and keeps current the District Job Descriptions, attends training programs to keep current with software modifications, distributes updated information, finds substitutes for spot coverage as needed, places calls for repair services for copiers as needed, develops and posts job openings as directed by the Superintendent and/or Director of Human Resources, processes FBI/BCI Background checks for employees and forwards documentation to the appropriate authorities, maintains records for FBI and BCI background checks and notifies regular employees when they are due to be updated, tracks and receives background checks for contracted personnel and student teachers, processes employee identification badges, takes precautions to ensure student safety, reports unauthorized persons or suspicious circumstances immediately, reports evidence of suspected child abuse as required by law, keeps current with advances in office technology and office procedures, participates in staff meetings and professional growth activities as directed, accepts responsibility for personnel decisions and conduct, strives to develop rapport and serve as a positive role model for others, processes background checks for parent volunteers for overnight school trips, maintains records for ODE Educational Aide Permits for classified regular employees and classified substitutes, sends out and follows up on reminders when they are due, reports to Superintendent which permits are ready to be signed off on and verify through ODE system when permits are issued, prepares employment packets for new employees and maintain hiring track, insuring all steps are complete for each new hire, sends out hiring forms for new employees and process them when received, insures appropriate papers are signed off by required department personnel, maintains contact with the certification office at the Ohio Department of Education, helps staff with certification forms and questions, transfers new hires from Applitrack to AESOP when hiring is complete and send notices to applicants that the jobs are closed, helps coordinate new employee orientation programs, reviews Board Agendas and receive information from the Payroll Administrator to prepare contracts for certified employees, submits them for signature by the Board President and Treasurer and send them to employees for their signatures and receive signed copies back, prepares, distributes and maintains supplemental contracts for regular employees and non-employees, sends them out and receive signed copies back, prepares, distributes and maintains employment verification information of previous employers for new hires, tracks and receives background checks for contracted personnel and student teachers, processes invoices for contracted agencies, including; employees of the Educational Service Center of Northeast Ohio, Renhill substitutes, University Hospital for employee testing, Impact Solutions, Bureau of Criminal Investigations, orders awards for the annual recognition of employees, helps coordinate recognition programs, tracks employees for the required A.L.I.C.E. training course, prepares the yearly district calendar in AESOP, assists employees with support for any AESOP concerns or troubles they may have, receives information from employees district wide for their TASC (employee flex spending accounts) elections, prepares the information and submit it to TASC each year, prepares salary notices to all employees, assists in the preparation, distribution and maintaining of FMLA records, prepares requisitions as directed, assists other Central Office staff and departments when needed and directed in order to meet tight deadlines, performs other specific job-related duties as directed.
Requirements
