Description
Leading Property Management company seeks a part-time Leasing/Administrative assistant for a beautiful successful Student Apartment Community in Mount Pleasant, MI. The position involves working Saturdays and offers flexible days in the middle of the week. Key responsibilities include attracting potential residents, ensuring high occupancy rates, and providing exceptional customer service.
Responsibilities
- Demonstrate ability to understand financial goals and operate assets in owners' best interest.
- Maintain accurate records of all community transactions and submit on a timely basis (e.g., rent rolls, delinquency reports, move-in/move-outs).
- Helps prepare annual budgets and income projections in a timely and accurate manner.
- Aids in ensuring all rents and late fees/check charges are collected, posted, and deposited in a timely manner.
- Ensures vendors/contractors are communicated with regarding scheduling, billing, and certificates of insurance.
- Handles petty cash and all funds, ensuring invoices are submitted for payment.
- Leads in securing property rentals by utilizing marketing strategies and confirming techniques are effective.
- Assists in gathering information about market competition and filing reports.
- Represents the company professionally at all times.
- Ensures current resident files are properly maintained and all administrative paperwork is accurate, complete, and submitted on a timely basis.
- Addresses resident concerns and requests on a timely basis to ensure resident satisfaction with management.
- Develops and implements resident retention programs (e.g., resident functions, special promotions, monthly newsletters).
- Ensures distribution of all company or property-issued notices (e.g., bad weather, emergency).
- Consistently implements policies of the community.
- Screens, hires, trains, and manages new personnel, ensuring efficiency and timely performance evaluations, salary reviews, time sheets, and change of status forms.
- Communicates situations to supervisors, Human Resources Director, and terminates personnel appropriately when necessary.
- Supports staff to encourage teamwork and maintain a harmonious environment.
Requirements
- Minimum 2 years on-site experience as a Leasing Consultant and/or Assistant Community Manager; 3 years supervisory experience in a customer service-related business preferred.
- Ability to apply logical thinking to define problems, collect data, establish facts, and initiate appropriate actions.
- Effective communication and interpersonal skills, with the ability to engage effectively with diverse individuals.
- Attention to detail and excellent organizational skills.
- Knowledge of local rental market trends and regulations is a plus.
- Ability to work independently and as part of a team.
- Proficiency in basic computer applications and property management software.
- High school diploma or equivalent; additional certifications in real estate or property management are advantageous.
