Part-Time Assistant for Policy Engagement and Strategic Partnerships

Department Specific Responsibilities

• Aids in administrative travel arrangements, prepares guest itineraries, and processes honorarium paperwork and documentation for visiting policy leaders and external stakeholders.
• Handles food and beverage ordering, manages catering pickups, and oversees on-site food setup and clean-up.
• Designs promotional flyers using tools like Canva or Adobe Express, formats program assets, coordinates printing and distribution of event handouts and materials.
• Collects, logs, and tracks receipts and expense documentation for reimbursements and departmental purchasing in alignment with IU financial guidelines.
• Provides day-to-day administrative and organizational support to the Director of Policy Engagement and Strategic Partnerships to ensure smooth program implementation.
• Captures and sets up rooms, venues, and technology for HAMILTON LUGAR SCHOOL policy workshops, lectures, seminars, and evening skill-building series.

Education

Required: High school diploma or equivalent (such as HSED or GED).

Skills

• Excellent written and verbal communication skills
• Strong organization skills
• High level of professionalism and confidentiality when interacting with guest speakers, faculty, and University Leadership
• Basic proficiency with visual design tools (Canva or similar) and standard university software (Microsoft Office, Google Workspace)
• Ability to lift and move light event supplies during room setup and takedown
