About the role
This part-time administrative assistant supports the Lynne & Henry Turley Memphis Center, providing advanced secretarial and administrative support in an academic and community-engagement environment. The role reports to the Dean for Community Engagement & Executive Director of The Lynne and Henry Turley Memphis Center.
Requirements
- High school diploma or GED required; bachelor’s degree preferred.
- One year of administrative or clerical experience required, preferably in higher education, OR bachelor’s degree in lieu of experience.
- Valid driver's license, a good driving record, and insurability by the College's insurance carrier.
- Proficiency with MS Office.
- Excellent written and verbal communication skills.
- Demonstrated ability to multi-task and work effectively with faculty, staff, students, and off-campus professionals.
- Demonstrated ability to organize numerous projects, work with attention to detail, consistently meet deadlines, and exercise professional judgment.
- Demonstrated ability to work with sensitive and confidential information.
Responsibilities
- Assist with center program budgets and process student payroll, travel and expense reports, check requests, and invoices and purchases for the center and affiliated programs in Workday.
- Assist with student fellowship management in Give Pulse.
- Assist in planning for and execution of meetings and events.
- Make office runs, orders, and purchases as necessary.
- Establish and maintain paper and electronic filing and record-keeping systems.
- Monitor and maintain inventory of office supplies through Workday punchout system.
- Handle routine office tasks such as greeting visitors, answering inquiries, and photocopying.
- Manage incoming and outgoing communications (phone, email, written correspondence), including prioritizing correspondence, drafting responses, and managing center mail activity.
- Maintain staff and center calendars; schedule appointments and meetings in Microsoft Outlook.
- Maintain the website of TMC and affiliated programs, including the online public events calendar under the supervision of the TMC Director.
- Operate and maintain a variety of office equipment including desktop and laptop computers, copiers, cameras, and video/recording equipment.
- Utilize appropriate software on personal computers.
- Serve as a member of the Turley Memphis Center team to support and advance College priorities.
- Coordinate student employees, including hiring, scheduling, and budgeting workload under the supervision of the TMC Associate Director.
- Type and/or transcribe assigned materials including correspondence and memoranda.
- Process queries for mass mailings.
- Assist with events on some nights and weekends.
- Other duties as assigned.
