Parent Engagement and Events Manager

About the Role
The Parent Engagement and Events Manager plays an important role in strengthening relationships and fostering an inclusive, connected, and engaged community at Belmont Day School, particularly during an exciting time as we prepare for the school’s centennial celebrations in 2027. Working closely with the director of development, the manager coordinates parent and volunteer engagement and plans and executes centennial campaign activities, advancement events, and other donor gatherings managed through the development office. The manager serves as a primary point of coordination among the development office, parents’ association, volunteers, vendors, and community partners. Through thoughtful relationship-building, strong project management, and careful event execution, the manager helps create meaningful experiences that strengthen community participation, school pride, and long-term engagement with Belmont Day.
This is a 12-month, part-time, nonexempt, benefits-eligible position that reports to the director of development.
Schedule
The schedule for this position will require 20-25 hours per week during the school year (September through June) and 10-15 hours per week during July and August. A schedule will be arranged with the director of development to align with school and development events and may include occasional evening and weekend work.
Pay
$33-$35/hour
Responsibilities
Development and Community Events
- Manage and execute development-led events, including donor stewardship gatherings, development community celebrations, and other engagement opportunities.
- Collaborate with the director of development to ensure that advancement events support donor engagement, stewardship, campaign, and community-building objectives.
- Coordinate with facilities, communications, technology, and other internal partners to ensure that events are well planned and successfully executed.
- Monitor event budgets, obtain vendor proposals, track expenses, and support timely invoice and contract processing.
- Partner with the assistant director of development operations and stewardship to assess events following completion and recommend improvements that strengthen participation, efficiency, and community experience.
Centennial Campaign Events and Engagement Activities
- Coordinate the execution of centennial campaign activities and events in partnership with the director of development, school leadership, volunteers, and other colleagues.
- Coordinate event logistics, including venues, vendors, catering, invitations, registration, technology, facilities, volunteer support, setup, breakdown, and guest experience.
- Serve as a primary point of contact for internal and external partners involved in assigned centennial activities and events.
- Support the development of centennial volunteer committees and provide members with the information, structure, and follow-up needed to advance event plans.
- Partner with the director of development and the centennial communications committee to coordinate centennial event invitations, promotional materials, programs, signage, digital content, and post-event communications.
Parent and Volunteer Engagement
- Attend designated parents’ association meetings.
- Recruit, orient, support, and recognize parent volunteers who assist with advancement and community events.
- Develop volunteer timelines, briefing materials, assignments, communications, and other resources that help volunteers serve effectively.
- Identify opportunities to strengthen parent participation and create meaningful pathways for families to become more involved in the life of the school.
- Perform other related responsibilities that support parent engagement, centennial programming, and advancement events, as assigned by the Director of Development.
Qualifications
- Bachelor’s degree or an equivalent combination of education and relevant professional experience.
- Three to five years of professional experience in event management, community engagement, volunteer management, advancement, nonprofit work, or a related field.
- Demonstrated success planning and executing events from concept through completion.
- Experience working with parents, community, or other volunteer leaders is strongly preferred.
- Experience in an independent school, educational institution, or mission-driven organization is valued but not required.
- Strong interpersonal skills and the ability to build positive, collaborative relationships with parents, volunteers, colleagues, vendors, donors, and community partners.
- Excellent project-management and organizational skills, with the ability to manage multiple events, deadlines, and priorities simultaneously.
- Strong written and verbal communication skills.
- Experience developing and managing event budgets and coordinating vendors and contracts.
- Comfort using event-registration platforms, databases, spreadsheets, digital communication tools, and project-management systems.
- Ability to work independently while contributing actively to a collaborative team.
- Availability to work mornings, evenings, and weekends in support of major events.
