About the role
We are seeking a full-time Order Specialist to support the accurate and timely processing of customer orders across our grocery and food-service operations. This position receives, enters, coordinates, tracks, and follows up on orders placed in person, by phone, email, online, or through approved delivery platforms. The Order Specialist works closely with customers and multiple store departments to ensure orders are complete, accurate, properly prepared, and ready for pickup or delivery at the promised time while providing a positive and professional guest experience.
Responsibilities
- Receive and accurately process customer orders from in-store, phone, email, website, and approved third-party platforms.
- Verify customer information, products, quantities, prices, substitutions, special instructions, pickup or delivery details, and payment status before finalizing orders.
- Monitor multiple active orders and follow through until completion with strong organization and attention to detail.
- Communicate clearly with customers and internal departments, including Kitchen, Deli, Bakery, Grocery, Produce, Cashiers, and Delivery.
- Verify completed orders for correct items, quantities, packaging, labeling, presentation, and supporting documentation before customer handoff.
- Provide professional updates regarding order status, substitutions, delays, modifications, or other order concerns.
- Work independently while collaborating effectively with multiple departments in a fast-paced environment.
- Assist with order pickup, bagging, register coverage, opening, closing, and general Front-End support as needed.
Requirements
- Must be available to work a full-time rotating schedule, including opening, mid, and closing shifts, weekends, holidays, and peak periods based on business needs.
- Previous experience as an Order Specialist, Order Coordinator, Order Entry Specialist, Customer Service Representative, Retail Associate, Fulfillment Associate, or similar grocery, food-service, hospitality, or customer-service position preferred.
- Comfortable using POS systems, phones, email, online-order platforms, and digital tools; experience with Odoo or another order-management system preferred.
- Able to stand for extended periods and lift up to 30 lbs.
- Bilingual English and Spanish preferred, but not required.
