Order Entry Specialist

About the Role

The Order Entry Specialist is responsible for entering shipment information into the logistics management software (LMS), ensuring Routing and Dispatch personnel have accurate data for drivers. This role involves updating Customer and Carrier Sales representatives with any changes and demonstrating key competencies such as customer service excellence, technology proficiency, and problem-solving.

Responsibilities

• Creates orders and shipments in the LMS using customer load information.
• Obtains pickup and delivery appointments via phone, email, or websites.
• Reschedules delivery and pickup appointments as needed.
• Verifies emails containing customer information changes.
• Ensures information on customer websites matches LMS data.
• Assists Customer and Carrier Sales with job-related tasks.
• Meets individual productivity goals (e.g., shipments entered, phone calls made).
• Performs routing, dispatch, and traffic duties as needed.
• Develops relationships with shipping and receiving locations.
• Assists team members, shift supervisors, and managers with related duties.

Requirements

• High school diploma/GED or equivalent; Bachelor’s Degree preferred.
• General understanding or knowledge of the transportation industry.
• Prior experience working in teams to accomplish goals.

Preferred Qualifications

• 2-3 years of logistics/transportation experience, including knowledge of procedures and regulations.
• 1 year of customer service experience in a professional business environment.
• 1 year of recent communication experience via phone in sales, marketing, or customer service.

• Strong customer service and interpersonal skills, including handling difficult situations professionally.
• Self-motivated with a high sense of urgency in task completion.
• Intermediate computer proficiency (Microsoft Office, Syfan’s LMS, customer websites, basic keyboard skills).
• Ability to accurately input detailed information into the LMS.
• Excellent organizational, time management, critical thinking, and problem-solving skills.
• Ability to prioritize tasks and adapt to changing situations.
• Ability to receive coaching and follow procedures and management directions.
• Ability to work cooperatively in a dynamic team environment with high call volume.

Work Environment

This job operates in a professional office environment and routinely uses standard office equipment. The role is largely sedentary but requires regular talking, hearing, standing, walking, and use of hands and fingers to operate computer equipment. Employees may handle and/or lift objects up to 20 pounds.

Schedule

This position has assigned work shifts, including daytime business hours.

Introductory Period

Progress reports at 30 and 60 days with a review by management at 90 days.
