Operations Specialist III

About the role

We are seeking an Operations Specialist to support the administration and coordination of external professional and consultant engagements. This role will manage engagement workflows, documentation, payment support, and stakeholder communications to ensure efficient and compliant execution of operational activities.

Responsibilities

• Coordinate engagement activities from initiation through closeout, including contracts, documentation, and payment support.
• Track requests, timelines, deliverables, and engagement status updates.
• Serve as a point of contact for internal stakeholders and external partners.
• Maintain records, trackers, reports, and documentation repositories.
• Support invoice processing, payment tracking, and resolution of operational inquiries.
• Perform data quality reviews to ensure accuracy and completeness of records.
• Collaborate with cross-functional teams to support operational execution and issue resolution.
• Support process improvement and operational excellence initiatives.

Qualifications

Required:

• Bachelor's degree required.
• 5-7+ years of experience in operations, contract coordination, engagement management, vendor management, or related business functions.
• Experience managing high-volume workflows and stakeholder requests.
• Strong organizational, analytical, and problem-solving skills.
• Excellent communication, customer service, and stakeholder management abilities.
• Ability to manage multiple priorities and work independently.
• Proficiency with Microsoft Office and workflow or document management systems.

Preferred:

• Experience supporting clinical research, healthcare, consulting, vendor, or professional engagement programs.
• Experience with contract administration, payment processing, and operational support activities.
• Experience working with engagement management, workflow, or contract management platforms.
• Experience supporting process improvement initiatives.
