About the Role
The Operations Specialist provides the first level of customer service to internal and external customers by demonstrating prompt and thorough attention to issues and requests. They work within warehouse management systems to track and account for each customer order and facilitate communication between customers and facility staff.
Responsibilities
- Process client orders or receipts, order confirmations, carrier communications, and handle general account records.
- Communicate professionally and promptly with customers via telephone or written correspondence to provide information and support regarding daily business or inquiries.
- Maintain data integrity of account information stored in company internal systems.
- Provide departmental support functions for clients as assigned.
- Utilize facility information systems for tasks related to client accounts, such as order entry, inventory inquiries, and receipt processing.
- Complete daily reports and worksheets accurately as required by clients and management.
- Ensure accurate order entry and release of information to staff as needed; answer customer billing questions.
- Keep records of customer interactions or transactions, including inquiries, complaints, or comments, and actions taken.
- Contact customers to respond to inquiries or notify them of order status or adjustments.
- Assist in tracking client activities and complete daily spreadsheets.
- Confer with customers by telephone, email, or in person to provide information about products, services, shipping, and receiving, or to take orders.
- Handle monthly billing responsibilities, including closing and entering charge codes for orders, receivers, and work orders.
- Prepare documents such as work orders, bills of lading, shipping orders, commercial invoices, master BOLs, packing lists, and barcode labels to route materials.
- Effectively communicate with associates, supervisors, managers, and senior management.
- Perform other duties as assigned.

Requirements
- High school diploma or GED and two years of related experience.
- Experience in a distribution/fulfillment environment is preferred.
- Knowledge of Microsoft Office, Outlook, and Warehouse Management Systems (WMS).
- Excellent oral and written communication skills.
- Ability to cross-train others.
- Strong data entry skills with a keen attention to detail for typing, filing, sorting, and proofing.
- Professional demeanor and flexibility with changing situations.
