About your role

The company is building a new operations team to support its growing suite of AI-powered products. As an Operations Specialist, this role will be central to ensuring these products deliver accurate, high-quality outcomes for customers. This is a detail-intensive, process-driven role. The individual will be responsible for backfilling historical data and documents into the platforms, and for processing and reviewing AI-assisted outputs across multiple product workflows. The products utilize AI to generate and structure content, and the role involves working within these workflows, applying careful review and sound judgment to ensure every output meets the quality bar customers depend on. Human oversight is a core component of how the products are designed to function. The Operations Specialist will work closely with customer-facing teams, supporting their work by executing operational tasks that underpin customer relationships. As a foundational member of a newly established team, this role will be pivotal in defining and optimizing the operational framework. The individual will evaluate current workflows, identify inefficiencies, and design scalable processes to support the continuous evolution of the AI-powered product suite.

What you'll do

  • Data & Document Onboarding: Ingest and structure historical data and documents into the company's platforms, ensuring information is accurately captured and properly organized for use within AI-assisted workflows.
  • AI-Assisted Processing: Receive and process incoming work requests within defined SLAs, working within AI-powered workflows to move requests efficiently from intake to completion.
  • Quality Assurance: Review AI-generated outputs for accuracy, completeness, and alignment with source material, applying consistent judgment at every step before work is considered complete.
  • Process Development: Follow established operating procedures with precision, and actively contribute to refining and improving them. As a member of a new team operating at the intersection of AI and operations, the individual will help build the playbook – identifying gaps, proposing solutions, and piloting improvements that raise quality and efficiency across workflows.
  • Cross-Functional Collaboration: Partner closely with customer-facing teams, maintaining clear communication and reliable turnaround accountability across multiple product workflows.
  • Customer Engagement: Serve as an operational point of contact for both internal stakeholders and external customers, representing the company with professionalism and clarity. Translate complex operational details into straightforward communication that builds confidence and trust across all audiences.

Qualifications

  • 2-3 years of professional work experience in an operations, administrative, or data-focused role.
  • Strong communication skills, both written and verbal, with the ability to engage effectively with internal teams and external customers alike.
  • Exceptional attention to detail with the ability to sustain accuracy under volume and time pressure.
  • Sound judgment and the initiative to escalate issues appropriately rather than work around them.
  • Comfort working within AI-assisted workflows and ability to critically evaluate AI-generated content rather than accept it at face value.
  • Proficiency in standard business tools including Excel and general communication platforms; comfort with task management workflows.
  • Ability to work independently and manage your own workload with a high degree of ownership.
  • Experience in financial services or investment management is preferred; familiarity with institutional data and document workflows are helpful context for this work.
  • Bachelor's degree or equivalent professional experience.

Compensation

Compensation for this position includes a base salary, equity, and a variety of benefits. The U.S. base salary range for this role is $69,500 - $91,500. Actual base salaries will be based on candidate-specific factors, including experience, skillset, and location, and local minimum pay requirements as applicable.
