Job Summary
The Operations Manager – Ambulatory Practice is responsible for the management of ambulatory practice operations, including associate supervision, both clinical and administrative operations, and meeting and/or exceeding organizational goals and objectives relating to operating budget and revenue cycle management.
Job Duties
- Understand and uphold the Mission, Vision, and Values of the organization.
- Communicate goals & objectives regarding quality, patient experience, financial performance, and other stated measures as appropriate.
- Maintain associate schedule and appropriate staffing levels to ensure efficient workflow and patient care.
- Collaborate with Clinical Coordinator (if applicable) to ensure adequate staffing levels to support practice operations in the ambulatory practice location(s).
- Oversee associates working at the practice location(s), including effective new associate orientation & onboarding, time & attendance, performance management, and talent development.
- Ensure a supportive environment to maintain associate retention.
- Resolve associate and/or provider issues, utilizing leadership and HR assistance as appropriate.
- Address performance concerns proactively and document immediately, thoroughly, and accurately.
- Consult with leadership and HR as appropriate to address performance issues.
- Conduct meetings at appropriate frequency with associates and providers to align workflows and processes to meet organizational and clinic goals for the practice locations.
- Review performance goals and objectives, give and receive feedback regarding the work environment, patient experience, quality outcomes, and financial performance of the practice location(s).
- Conduct and/or facilitate training and development opportunities as appropriate for associates and providers.
- Communicate and administer policies and procedures as outlined.
- Consult with leadership and HR as appropriate to address policy and procedure issues.
- Attend leadership meetings and other mandatory meetings as required/requested.
- Work with the Central Business Office to improve revenue cycle management and net collections through established workflow processes.
- Direct and provide oversight of compliance to CMS, JCAHO, and St. Elizabeth safety policies and regulatory and accreditation standards of all Ambulatory practice locations.
- Coach associates to meet established quantitative/qualitative standards.
Minimum Qualifications
- Associate degree
- Must have a valid driver’s license for local travel between work locations.
- Ability to manage and prioritize multiple tasks, knowledge of Excel, Word, Outlook and PowerPoint and the ability to learn other computer skills.
- Good organizational skills and work professionally with doctors, hospital administration and management, SEH employees, and the public.
- 3 years’ experience in the medical industry
- 1 year experience supervising people
