Position Responsibilities
- Designing and implementing a company-wide project management system across all departments
- Establishing standardized project management methodologies, meeting cadences, workflows, templates, and reporting structures
- Building and maintaining project management frameworks within Notion
- Running weekly 1:1s with department coordinators across Marketing, Sales, Curriculum, Student Success, Build, Data, and future teams
- Coaching coordinators to improve planning, prioritization, accountability, and execution discipline
- Building the Project Management function from the ground up, including hiring, onboarding, training, and managing project managers
- Defining project management career paths, expectations, and operating standards alongside the Director of Operations
- Managing and developing Project Managers as they are deployed into functional business units
- Establishing and maintaining company-wide project management cadences, including L10 meetings, quarterly Rocks planning, dependency reviews, and retrospectives
- Owning the operational structure of the company's Notion workspace, including governance, templates, taxonomy, documentation standards, and organization
- Ensuring recurring processes are documented, maintained, and assigned to accountable owners
- Driving continuous improvement initiatives through postmortems, process refinement, and operational reviews
- Serving as a cross-functional operational partner and escalation point when departments encounter execution challenges
- Supporting the Director of Operations by reducing project management bottlenecks and increasing organizational efficiency
Qualifications
- Proven experience implementing project management systems within high-growth organizations
- Experience leading project managers, coordinators, or operational teams
- Strong understanding of project management methodologies, including Agile, Scrum, Shape Up, and related frameworks
- Demonstrated success creating repeatable systems, processes, and operating rhythms that scale
- Experience coaching team members from reactive execution to proactive planning
- Strong knowledge of Notion and experience designing operational systems within modern workplace tools
- Experience working within remote-first, fast-paced, entrepreneurial environments
- Organizational skills with exceptional attention to detail and follow-through
- Ability to influence cross-functional teams without direct reporting authority
- Comfortable balancing strategic planning with hands-on execution
- Strong communication, leadership, and stakeholder management skills
- Familiarity with AI tools and modern workplace technology preferred

Schedule Expectations
Twice per year during launch seasons (approximately 10–12 weeks total annually), team members in launch-critical roles are expected to be available from 7:00 AM to 7:00 PM, with additional hours required for preparation, execution, live event support, and post-launch activities. Outside of launch seasons, the workload remains strategic and sustainable, focused on building systems, processes, and infrastructure that improve execution across the business.
