Position Objective
Serve as the first point of contact for the public, a key member of the international operations team, and the administrative backbone of the organization.
Primary responsibilities and duties
- Livest, promote, maintain, and fully support the mission and culture of Animal Equality
- Oversee organizational compliance and provide expert administrative support for a growing multi-state team
- Oversee state tax filings with support of our HR system
- Serve as the primary contact for Animal Equality’s insurances, payroll and benefits, outside counsel, vendors, and service providers, ensuring accurate record-keeping and timely filing of required documents
- Plan and coordinate national and international meetings and events, overseeing all logistics
- Handle complex travel itineraries for senior leadership, and large groups
- Manage the remote office, including procurement, maintenance, and inventory of supplies and equipment
- Produce and disperse professional correspondence, including emails, handbooks, policies, and guidelines
- Manage the recruiting process of new employees from drafting job descriptions to onboarding
- Maintain the organizational handbook with the support of labor lawyers
- Develop, maintain, and enforce organizational knowledge management
- Oversee document management, email, and calendars (Google Workplace) and project management (Asana)
- Serve as first point of contact for the US team’s technology implementations and trouble-shooting under the guidance of the International Tech Manager
- Closely work with the finance department on quarterly reporting, budgets, credit card management, bill pay and more
- Receive, scan, and route mail, including recording and depositing donations, as needed
- Ensure organizational efficiency and data integrity across all systems and records, including the collection and reporting of financial information, OKRs, and other metrics
- Engage with supporters, vendors, service providers, and other external stakeholders
- Oversee, support, and guide the Operations Coordinator
- Reply to inbound inquiries with accurate, timely information
- Answer and direct phone calls in a helpful, friendly manner
- Perform other tasks as assigned by the supervisor
- Ability to travel domestically and internationally on occasion
Qualifications
- At least 3-5 years of related experience
- A commitment to Animal Equality’s vision, mission, strategy and culture
- Proficiency in Google Workspace and the use of project management tools, databases, and spreadsheets and the ability to learn new platforms like Rippling, Ramp, and Iru
- Knowledge of federal and state labor laws
- Knowledge of non-profit compliance needs
- Working knowledge of animal rights issues and alignment with effective animal advocacy
- Excellent written and oral communication skills
- Ability to organize and manage multiple projects
- Proven ability to work well under pressure and meet deadlines
- Excellent time management skills
- Reliable transportation and valid driver’s license
- Attention to detail with a high level of accuracy
- Problem-solving skills
- Ability to work with a wide variety of people on various issues
- Ability to maintain confidentiality
Pay and Benefits
- Salary range $67,000-$70,000 commensurate with experience
