Operations & Legal Administrator (US)
About the role
The Operations & Legal Administrator supports the US entity of Our Common Home Foundation, a 501(c)(3) registered in Delaware. This role is part-time, 2 days per week, reporting to the Chief Operations Officer.
Key Responsibilities
Legal, Governance & Board Administration:
- Maintain 501(c)(3) status and comply with Delaware state and US federal regulations.
- Coordinate Board of Directors meetings, prepare agendas, assemble materials, and draft minutes.
- Act as primary liaison with external legal counsel and accounting firms for timely filing of tax returns (e.g., Form 990).
Operational Coordination & US Administration:
- Oversee State Charitable Solicitation Registrations and renewals.
- Liaise with payroll provider for smooth payroll processing.
- Provide basic HR and immigration support (tracking visa statuses, coordinating with immigration counsel if necessary).
- Manage Gusto supervision.
Executive & Secretarial Support:
- Provide high-level secretarial and administrative support to the CEO and US-based Fundraiser.
- Manage scheduling, calendar coordination, and basic travel logistics.
- Aid the fundraiser with tasks related to donor tracking or grant compliance documentation.
Qualifications & Experience
Paralegal Training/Certification: Strong foundational knowledge of US corporate law, contract review, or non-profit compliance.
Nonprofit Experience: Prior experience with or supporting a 501(c)(3) organization, especially regarding governance and charitable registration.
Operational Savvy: Familiarity with basic US payroll, HR practices, or working with PEO platforms.
Exceptional Organization: Ability to manage a diverse workload independently.
Tech-Savvy: Proficiency with remote work tools.
Discretion: High level of integrity and discretion when handling confidential data.
