About the role
This position keeps doctor schedules in AmeriVet's practice scheduling system (ezyVet) clean, complete, and built far enough ahead that clients can book. This is a hands-on, high-volume influential role: assess the schedules, find what is blocking access to care, partner with practices to get it fixed, and coach the practice to future success. The measure of success is simple: more bookable, patient-facing doctor time — and therefore improved access to care.
Responsibilities
- Review doctor schedules in EzyVet on a set weekly cadence, practice by practice, against the scheduling standards.
- Find and resolve unnecessary schedule blocks — recurring holds, stale administrative blocks, oversized non-clinical blocks, and other opportunities that limit access to care.
- Confirm doctor schedules are built out the required number of weeks in advance and chase down the gaps where they are not.
- Check that appointment types, durations, and slot templates match the approved standards, and flag where a practice's set-up unintendedly caps its own capacity.
- Make corrections directly in ezyVet once the Practice Manager has signed off; escalate anything the Practice Manager will not or cannot approve to the Operations Director.
Requirements
- 2+ years in veterinary practice operations, medical/dental scheduling, or another multi-site appointment-based service business.
- Hands-on experience working inside a practice information management system, scheduling system, or electronic medical record.
- Strong attention to detail with the discipline to work through a high volume of practices on a repeating schedule without losing accuracy.
- Comfortable coaching and influencing people who do not report to them — able to get a Practice Manager to say yes.
- Clear, friendly written and verbal communication; able to explain a standard without making someone feel audited.
- Working proficiency in Excel and Microsoft Teams/Outlook; able to keep an organized tracker without being handed one.
- Self-directed and reliable in a fully remote role.
- Prior experience as a Practice Manager, lead CSR, or scheduling coordinator in a veterinary hospital preferred.
