About the role

The Operations Coordinator in America is responsible for providing support to various departments from the UK Head Office for ongoing projects in America. The role includes coordinating project documentation, overseeing the MDL Visa process, assisting with procurement in America, managing schedules, and providing support for invoicing and the monthly measurement process. Additionally, the role may involve handling other tasks and activities as needed.

Responsibilities & Accountabilities

  • Review Project dashboard and support weekly/project meetings.
  • Managing Visa process for MDL Technicians and any other 3rd party supplier.
  • Responsible for procurement process for America entity on behalf of Supply Chain & Contracts.
  • Support Personnel and equipment logistics for MDL Projects taking place in America.
  • Collaborate with project managers to allocate resources effectively.
  • Oversee the logistics and supply chain processes to ensure timely delivery of equipment.
  • Support invoicing and monthly measurement activities for America entity and America Projects
  • Maintain accurate records of project activities, expenses, and resources.
  • Championing ‘One Team MDL’ approach and acting as an MDL ambassador.
  • To follow the process of continuous improvement and to demonstrate a continuous improvement approach towards all processes, products, and tasks within their role, to maintain and report key performance indicators, and to act as required to ensure agreed performance standards and expectations are achieved or excelled.
  • To actively participate in all aspects of HSEQ awareness, education, training and communication. Accountable for stopping a job if perceived that it is not safe to progress for personnel or the equipment/ product, or if not adhering to MDL standards or procedures.
  • To encourage the team to challenge internal and external processes, procedures, and methodologies to improve the MDL offering.
  • To actively encourage innovation within the team, driving ideas form back-deck operations through the organisation.
  • To always maintain good relationships with clients and other stakeholders as well as to act as an MDL ambassador.

Desired Skills and Experience

  • 5+ years proven experience as a project administrator or in similar role.
  • In-depth knowledge of subsea Oil and Gas operations.
  • Database knowledge in focal point and cloud based SharePoint advantageous.
  • Fluent in English, both written and spoken.
  • Bachelor's degree in a relevant field

Training & Job Specific Requirements

  • Familiar/ competent in all Microsoft packages including Outlook, Projects, Excel, Word & SharePoint.

Work is primarily in the MDL America Office at Energy Tower III, Katy Freeway with travel as required.
