Operations Assistant - Chicago

About the role
In this role, you'll be an expertly organized and strategic professional serving as Operations Assistant to multiple executives at BPI. This position plays a crucial role in enabling BPI leadership to work efficiently and focus on strategic priorities. You'll serve as a key operational partner, proactively managing daily, weekly, and long-term calendars and logistics for executives while supporting internal operations to maintain the Chicago office culture and ensure smooth operations. You'll collaborate with individuals across all levels of the organization, particularly executive leadership, and report directly to the Senior Director of Culture and Operations.
The ideal candidate will have excellent organizational and communication skills, a proactive mindset, and the ability to anticipate needs while handling a wide range of responsibilities with discretion and efficiency in a fast-paced environment.
Responsibilities
- Provide expert-level administrative assistance to high-level BPI executives, including managing complex schedules, calendar appointments (both internal and external), travel arrangements, hours submissions, and business expenses.
- Proactively take initiative on operational tasks by building strong relationships with executives, understanding their priorities, and driving daily tasks forward before being asked.
- Monitor the day-to-day operational needs of the Chicago office, ensuring administrative, office, and business operations run smoothly.
- Champion BPI culture by collaborating with leadership to plan activities, calendars, events, and operations tasks.
Requirements
- 3+ years of relevant experience as an executive assistant or in an internal operations role (preferred).
- Proven experience managing complex calendars in a fast-paced environment.
- Ability to prioritize and handle multiple assignments while maintaining commitment to deadlines and long-term goals.
- Exceptional organizational and time management skills.
- Strong interpersonal and communication skills with a high level of intuition and discretion.
- Thrives in a collaborative, fast-paced environment while juggling multiple projects and conflicting timelines.
- Ability to anticipate needs and proactively address issues.

Pay
Starting salary range: $56,000 - $75,000 (+ annual bonus).
Schedule
Expectation to work from the Chicago office at least 4 days a week.
