About the Position
We are looking for a motivated, organized, and personable Operations and Growth Coordinator who enjoys helping a business move forward. This person will play a central role in turning leadership priorities into practical action, keeping important initiatives moving, and helping new processes become consistent parts of the firm’s day-to-day operations.
Key Responsibilities
- Turn leadership decisions into clear plans, timelines, assignments, and repeatable processes
- Coordinate operational and growth projects from planning through completion
- Track action items, deadlines, and recurring responsibilities and follow up when work is falling behind
- Help staff stay organized, understand priorities, and consistently follow approved processes
- Cover marketing initiatives, including work with podcast, website, photography, and other outside contractors
- Support professional advisor and referral relationships by tracking outreach, meetings, referrals, events, and follow-up
- Develop and coordinate client satisfaction, client education, and client appreciation initiatives
- Maintain accurate operational, financial, referral, marketing, and performance data
- Cover bookkeeping, payroll, benefits, PTO, personnel records, onboarding, and offboarding
- Cover internal procedures, templates, training materials, and shared operational resources
- Cover vendors, office supplies, inventory, technology needs, and operations between the Seattle and Bellevue offices
- Identify workflow problems, process drift, and stalled projects and bring practical recommendations to leadership
- Prepare progress reports, meeting agendas, and summaries of outstanding action items
- Exercise sound day-to-day judgment while recognizing when leadership approval is needed
Qualifications
- Bachelor’s degree or equivalent professional experience required
- At least five years of relevant experience in operations, administration, project coordination, executive support, business development, or a related field
- Experience in a law firm, professional services firm, or other professional office environment preferred
- Strong interpersonal skills and the ability to build trust, encourage cooperation, and communicate effectively with different personalities
- Excellent judgment, initiative, and follow-through
- Highly organized, dependable, and attentive to detail
- Comfortable working independently while knowing when to seek leadership input
- Strong written and verbal communication skills
- Professional discretion when handling confidential financial, personnel, and internal firm information
- Tech-savvy and able to learn and adapt to new software and systems quickly
- Proficient with Microsoft Office, with particularly strong skills in Excel
- Experience with bookkeeping, payroll, benefits administration, marketing coordination, or vendor management is helpful
